Job Summary:
Supervise, direct, develop and coordinate activities related to office administration. Lead, plan, implement and maintain a variety of office, billing and reporting activities to assure accurate and complete inventories and reports, and ensure accounts payable and accounts receivable are up to date and accurate.
Essential Duties and Responsibilities:
- Effectively communicate with drivers, logistics and shipping department, and coordinate truck and railcar loading while maintaining acceptable loading times.
- Scale trucks at arrival and departure from facility using scaling software, enter manual scale tickets with full comprehension of legal weight limits.
- Review notes on Pick Tickets/Lumber Lists, update shipping calendars, print pick tickets, determine unit counts on tickets. Release railcars and receive inbound loads.
- Process delivery tickets for invoicing and customs documentation preparation.
- Process scale tickets for residue, matching against pay statements from residual customers for accuracy. Once accuracy is verified and all scale tickets are accounted for, process invoices for plant residues and finished goods shipments. Ensure accuracy of all customer invoices.
- Enter shift production by department into software. Run system reports for open orders, profitability, rough green, dry and finished inventory reports. Update and finalize month end reports, monthly NELMA reports, G/L reports, Sales Order Entry, Employee Sales and Physical Inventory. Complete daily reports and distribute accordingly.
- Effectively process accounts payable for facility by matching purchase orders and scanning invoices and purchase order into OnBase system after General Manager signed off approval.
- Order office supplies while maintaining supply costs to budget.
- Responsible for leading, managing and holding administrative office staff accountable to their duties. Develop employee training, complete performance evaluations and individual development plans.
- Ensure safe work practices, follow safety procedures, and complete safety forms, checklists, and permits as needed.
Qualifications:
- Computer proficient with Microsoft Office, Google Docs/Sheets and aptitude to navigate and acquire skills to use internal systems.
- 2-3 years experience Preferred in Accounts Payable, Payroll, or Office Administration
- Able to understand and respond to verbal and written communication.
- Self-motivated with strong leadership skills.
- Capable of working independently with minimal direct supervision
- Previous experience in related field is preferred.
- Professional appearance, punctual and reliable.
- Ability to handle confidential and sensitive material in a highly professional manner.
Job Type: Full-time
Pay: $18.00 - $21.00 per hour
