Accountant

Position Summary:

Big Brothers Big Sisters is seeking a detail-oriented and experienced Accountant to manage the financial operations of our organization. The Accountant will oversee bookkeeping, financial reporting, grant management, budgeting, and audit processes. The ideal candidate will possess strong analytical skills, attention to detail, and a commitment to maintaining financial integrity and confidentiality.

Essential Duties and Responsibilities

Accounts Payable and Receivable

  • Verify and complete payments to vendors, ensuring payments are charged to the appropriate accounts.
  • Manage the vendor purchasing and invoicing system.
  • Issue checks to vendors and process scholarship requests as needed.
  • Oversee daily download and coding of corporate credit card transactions (including DIVVY accounts), ensuring alignment with the general ledger.
  • Assign classes in QuickBooks to all transactions for tracking departmental account balances.

Reconciliation and Financial Reporting

  • Reconcile bank accounts monthly, verify deposits, and address inquiries from financial institutions.
  • Reconcile and maintain all balance sheet accounts and assist the CFO with investment account reconciliations, including the Merrill Lynch account and transactions such as T-bills purchases.
  • Reconcile accounts in Raiser's Edge with the Development team, including grants and donations.
  • Prepare journal entries and assist in monthly closings and the preparation of financial statements.
  • Produce and review financial reports and statements to support management decisions and advise the CFO as needed.

Investment and Cash Flow Management

  • Monitor checking and savings accounts daily, providing recommendations to the CFO for maintaining healthy operations.
  • Prepare cash flow reports to separate restricted and unrestricted funds, providing forecasts, variances, and averages for financial decision-making.

Grants Management

  • Process monthly public grant invoicing, ensuring accurate billing of federal, state, and local grants totaling approximately $1.5 million annually.
  • Track staff time allocations for grant reimbursements and generate biweekly grant allocation reports to maximize grant utilization before end dates.
  • Assist the CFO with grant budgets and monitoring processes.
  • Support public grants budgeting and modifications throughout the year, adapting to organizational changes.

Budgeting and Auditing

  • Assist in developing and maintaining the annual organizational budget in collaboration with the CFO.
  • Prepare audit schedules and provide supporting documentation for annual audits.
  • Support the CFO during key organizational events and transitions.

Fixed Assets and Tax Compliance

  • Maintain and prepare the fixed assets schedule.
  • Prepare, review, and distribute year-end 1099 forms to entities and contractors.
  • Assist in 1099 distribution and ensure compliance with federal and state regulations.

Bank Liaison and Cash Flow Management

  • Serve as liaison with financial institutions for positive pay, ACH, and wire payment issues.
  • Monitor and resolve bank issues, including fee discrepancies and returned checks.
  • Ensure daily deposits to have funds available by the second business day.

Other Responsibilities

  • Answer accounting and financial questions by researching and interpreting data.
  • Provide trend analysis and internal reporting related to public grants reimbursements.
  • Assist with major events and provide unconditional support during the onboarding of new leadership.
  • Perform other related duties as assigned by the CFO.
  • Maintain confidentiality of sensitive information to protect the organization's value.

Qualifications and Skills

  • Minimum of 3 years of related accounting experience, preferably in a non-profit organization.
  • In-depth knowledge of GAAP, FASB standards, and Sarbanes-Oxley compliance as they apply to non-profit management.
  • Proficiency in accounting software, including QuickBooks and Raiser's Edge, and advanced Microsoft Excel skills.
  • Strong organizational skills, attention to detail, and ability to multitask in a fast-paced environment.
  • Strong analytical and problem-solving abilities.
  • Effective interpersonal and communication skills, both written and verbal.

  • Ability to maintain confidentiality and demonstrate a high level of integrity and professionalism.
  • Flexibility to work after regular office hours for programs and events.

Work Environment and Physical Requirements

  • Office-based environment with occasional event or venue responsibilities.
