Join a Forward-Thinking Organization Making a Lasting Impact on Children's Lives! Big Brothers Big Sisters Mountain Region (BBBSMR) is seeking a passionate and community-focused Program Specialist/Outreach Coordinator to join our innovative and collaborative team.

At BBBSMR, we provide one-to-one mentoring services that empower children facing adversity to achieve their fullest potential.

Essential to the Big Brothers Big Sisters (BBBS) brand, the primary function of this position is to professionally engage, enroll, match, and support volunteers and children consistent with the BBBS of America Service Delivery Model and BBBS Mountain Region Program Manual and practices.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Enrollment:

· Interview potential Bigs (mentors) and Littles (mentees) to assess strengths, needs, interests, and match preferences and to make tailored matches. Matches may be:

o Community-Based (adult mentors matched with youth ages 5-17); or

o School-Based as part of our High School Bigs programs (high school students matched with elementary-age students; matches meet weekly on-site at area schools).

· Build and sustain relationships with local school administration to partner in assuring children receive mentoring support.

· Assess volunteer “fit” to BBBSMR’s mission and model. Conduct volunteer enrollments, including individual orientations, interviews, and completion of any other enrollment processes. Assess the necessity of home visits and complete as indicated. Conduct or arrange all background checks/references necessary.

· Review and follow-up on references as necessary to gain additional information to complete the assessment process.

· Conduct client enrollments including parent/child interviews, child and parent/guardian safety education and enrollment processes. Assess and refer families for alternative or additional services as needed.

· Ensure a high-level of proficiency and skill in applying child safety and risk management knowledge, policies, and procedures throughout all aspects of job function. Identify child safety issues and potential risk factors for volunteers, children, and their families.

· Conduct volunteer and client updates and reenrollments as indicated.

· Identify and eliminate any barriers interfering with the completion of the enrollment process.

· Review all enrollment information and assessments and make recommendations for participation in the program based on eligibility and suitability. Assess and apply factors contributing to successful match. Effectively align volunteer interests and qualifications with agency’s program options. Consult with supervisor and other team members as appropriate.

· Provide comprehensive assessments and match support recommendations for volunteer and child participation in the program based upon assessments of each individual volunteer. Maintain accurate and timely records for each match according to standards and utilize technology to report, synthesize and analyze data.

· Collaborate with other BBBSMR team members to ensure smooth transition among functions.

Match Support:

· Use engagement skills and all contact techniques available including in-person, telephone, and electronic contact, to ascertain that the elements of child safety, healthy match relationship development, positive youth development and volunteer satisfaction are fulfilled; identify and support relationship strengths; identify and address potential problems and barriers as early as possible. Promptly notify supervisor regarding concerns which may negatively impact the match and possible match closures.

· Monitor all elements of match support and supervision. Document factual findings and observations in appropriate sections of Matchforce in a timely manner.

· Review all interviews, assessments, training needs, and child goals for each match on caseload.

· Assess individual and group training, information, and support needs for each match participant to assure healthy match relationship development, a positive youth development experience for the child, positive engagement with the family and successful and satisfying experience for the volunteer.

· Develop strategic interventions to identify and strengthen match relationships that require extra support to continue to grow.

· Promote, attend, and assist with match activities that offer volunteers and children a variety of opportunities for group interaction, agency affiliation, and volunteer recognition.

· Establish, monitor, and meet goals for match length, fulfilling contact schedules, and customer satisfaction. Utilizing outcomes data (S.O.R. and Y.O.S.) assess match impact on youth development and goal achievement.

· Conduct exit interview with all parties at match closures. Assess reasons for match closure and re-match potential. When match terminates pre-maturely or unexpectedly, notify supervisor immediately. Submit all match closure paperwork to supervisor for approval, and properly document in Matchforce

· Share with development and/or marketing staff potential partnership relationships as discovered through volunteers’ and parents’ employers and affiliations.

· Identify and promote re-engagement of volunteers as Bigs, board members, donors and in other volunteer capacities. Refer volunteer re-engagement information appropriately.

· Facilitate match meetings in accordance with volunteer and family schedules. Complete all paperwork and obtain signatures on all required match forms.

· Maintain caseload database information including updated address, phone number, email address, etc.

· Manage risks related to team and client safety.

· Other duties as assigned and within the experience and skills commensurate to those defined below

JOB QUALIFICATIONS AND CORE COMPETENCIES:

· Education: Must have a bachelor’s degree or be within 6 months of completing degree at time of hire.

· Customer-Focus: Demonstrated ability to build rapport and strong working relationships with diverse individuals, including families, volunteers, and team members (“customers”). Independently anticipates customer needs and identifies potential solutions; consistently meets customer needs.

o Experience developing and managing family-led relationships with children and adults.

o Experience with intake, interviewing, assessment, and case management.

o Knowledge of child safety and mandatory reporting requirements, alignment with an asset-based approach to supporting young people and volunteers.

· Written and Verbal Communication: Has active and attentive listening skills; adapts communication content and delivery to individual needs. Openly and diplomatically expresses opinion. Translates what is heard, observed, or assessed into documentation that is accurate and concise; clearly communicates key information to others with a need to know. Adeptly adjusts communication content and delivery to fit different perspectives, needs, backgrounds, cultures, and styles.

o Proficient in case management documentation.

o Special consideration for candidates fluent in Spanish – able to communicate clearly and effectively with Spanish-speaking families and volunteers.

· General Office Skills: Proficient in MS Teams and Office: Word, Excel, Outlook.Adept at learning new systems and processes.

· Travel: Reimbursed travel required to the schools served regionally as well as occasional travel to other regions.
