Position Summary

The Enrollment & Outreach Specialist reports to the Program & Activities Director and is a key player in the areas of community and volunteer outreach, volunteer and child enrollment and retention. Conducts regular community outreach and recruitment activities, guides volunteers and families through the enrollment process including interviews, assessments, trainings, and making matches, while promoting the BBBS brand to build awareness and support of the agency.

Responsibilities include:

  • Lead and facilitate the entire life cycle of the volunteer mentors (Bigs) and youth (Littles) waiting to be matched, including keeping accurate enrollment paperwork, data entry, assessment writing, and completing surveys.
  • Assesses and applies indicators that contribute to a successful match by effectively aligning volunteer interests and qualifications with mentoring program options.
  • Determines matches and facilitates match introduction meetings that align with volunteer and family schedules.
  • Identifies and eliminates any barriers interfering with the completion of the enrollment process.
  • Follow-ups with enrollment leads, applicant references, counselors, & therapists, as appropriate.
  • Conducts volunteer and youth/family re-enrollments to ensure appropriateness for rematching in the program.
  • Identifies, cultivates, solicits and stewards a portfolio of community partnerships for volunteer and program lead generation.
  • Adopts, delivers, and manages training curriculum for mentors and families.
  • Meets established monthly and annual goals for new community-based matches, match quality, documentation quality, processing time, and volunteer/client satisfaction.
  • Provides timely and comprehensive reports and recommendations for participation in the program based upon enrollment information and assessments of each potential match participant.
  • Uses match closure data and waiting lists to identify opportunities to improve match retention and reduce the waiting list.
  • Supports the development of match engagement and retention activities.
  • Advances the agency’s brand awareness, marketing, and communications.
  • Provides secondary support for site-based youth/volunteer enrollment processes and activities as well as fundraising events.
  • Other duties as assigned.

Successful candidates will meet the following qualifications:

  • Nonprofit, volunteer coordination, communications or recruitment experience preferred.
  • Ability to build rapport and strong working relationships with internal and external customers.
  • Excellent oral and written communication skills as well as a strong understanding of non-verbal and body language skills.
  • Works independently while exercising good judgment, assessment, decision making, problem solving and time management skills.
  • Demonstrates high personal work standards and a sense of urgency about results to meet goals and deadlines.
  • Demonstrates ability to be innovative. Generates and/or recognizes imaginative, creative solutions in work related situations.
  • Volunteer coordinator or sales and/or marketing experience is desired.
  • Ability to handle stressful situations and work in a fast-paced environment
  • Proven ability to work with confidential information.
  • Ability to relate well in multicultural environments, follow up in a timely manner, detail oriented when collecting data to draw solid conclusions, and demonstrate patience with a confident and calming presence.
  • 2 years of experience working with at-risk youth, populations facing adversity and/or high-level customer service is ideal.

Required Education:
Bachelor’s degree from an accredited college or university in human services, social work, marketing or communication, or other related field.

Hours/Workdays:
Mon-Fri., Mainly daytime with flexibility to work evening hours as needed to meet clients.

Location:
West Bend Office (103 S. Main Street, West Bend, WI 53095).

Agency Requirements:

Each year the agency holds events that typically fall after normal office hours. These events may be mandatory for all staff. For scheduling purposes, you will be notified of the dates as early as possible. These events may include but are not limited to the following:

  • Bowl for Kids’ Sake - February
  • Golf for Kids’ Sake - June
  • Golf Marathon – September

As an employee of the Big Brothers Big Sisters Team, you may be required to attend other agency-related activities, meetings and events as deemed necessary.

Physical Demands

The physical demands at BBBS are representative of those that must be met by an employee to successfully perform the essential functions of this job. Performing the essential responsibilities of this job, the employee is regularly required to sit, operate computers and other office equipment, complete filing tasks and use written and oral communication skills. The employee may be required to transport or move up to 20 pounds.

Travel

The employee must have a valid driver's license and the ability to travel within the community we serve with full time access to an automobile and automobile insurance in the amount required by the state of Wisconsin.

Job Type: Full-time

Pay: $40,000.00 - $45,000.00 per year
