What are the responsibilities and job description for the Member Services Representative position at Big Easy Ranch?
Job Summary: This position serves as the primary point of contact between the Ranch and members.Assists in the daily operations of the Ranch. Assists in maximizing the profitability of the Ranch by providing exceptional guest service skills and upselling.
Essential Functions:
· Greets guests in a warm, friendly, and professional manner
· Maintain complete knowledge of:
a) Scheduled daily activities;
b) Ranch features/services;
c) All lodging types, layout, décor, appointments and location;
d) Scheduled daily event activities;
e) Room, dining and activity availability status for any given day;
f) Daily arrivals/departures, house count; features and service of the Ranch;
g) Hours of operation for each outlet;
h) Membership policies and procedures;
i) Current rates, specials and packages;
j) Emergency procedures.
· Constantly displays outstanding communication and member relations skills
· Demonstrates a professional attitude in all interactions with members, staff, owners and vendors
· Familiar with local dining, shopping, and entertainment offerings
· Answers guest questions about the Ranch and local area, researching and providing prompt and professional follow-up information
· Becomes familiar with Member names and acknowledges them by name
· Become familiar with the Ranch’s Property Management Systems for training, maintenance, reservations and troubleshooting (including occasional updates)
· Caters to each guest in their individual needs
· Personalizes all services and anticipates member or guest requests whenever possible
· Accept reservations, changes and cancellations for lodging, dining, special events, shooting, fishing; ensuring comprehensive notes are placed on each reservation record
· Assists guests with transportation when needed
· Answers telephone within three rings, using proper greeting and telephone etiquette
· Retrieves messages from computer and phone
· Confirms all reservations via email
· Maintains reservations@bigeasyranch.com emails, ensuring timely responses to all member and staff communication
· Addresses guest problems and complaints; make diplomatic resolutions and/or contact management
- Adheres to established credit/payment policies and procedures while checking guests in and/or settling guest accounts
- Keeps in constant communication with all support departments, updating them of member requests and all member-related issues that may arise
· Sends out nightly At A Glance Report to all staff; Reports and Pop Ups included
· Sends out weekly Pre-Arrival Emails & Requests
· Prepares weekly Schedule of Events
· Assists with social media monitoring and updating
· Assists in handling administrative tasks and special projects for following departments: Lodging, Membership, Events, Golf, Greens & Grounds, Food & Beverage
· Inspects and maintains overall cleanliness and appearance of the Member Services desk, and lobby area, including temperature, lighting, and music
· Attends weekly BEO meetings when available
- Maintains grooming and dress code standards as outlined in the Employee Handbook.
- Submits all lost and found articles following laid out procedures
· Performs all work related duties as assigned by Communications Manager, Lodging Director, AGM and General Manager.
Job Type: Part-time
Pay: $16.00 - $18.00 per hour
Expected hours: 20 – 29 per week
