Job Title: QA/QC Specialist

Compensation: $17.50/hr - $25.00/hr (DOE).

Employment terms: Full Time – Non-exempt

Role & Responsibilities:

  • The QA/QC Specialist role is responsible for overseeing quality control and documentation processes, including managing batch records (PBRs/EBRs) through the company’s digital QMS C15 Solutions, conducting mass balancing and yield reporting, reviewing COAs, and processing quality events including but not limited to planned and unplanned deviations, incident reports, and RCA/CAPA investigations.

This role also oversees document control related functions of the QMS by identifying gaps and implementing updates to SOPs and other quality documents, primarily maintaining the document library through regular audits and observations on the floor in each department.

The QA/QC Specialist will additionally provide project documentation in ClickUp, analyze quality metrics and KPIs to drive process improvements within the QA/QC department, and ensure that all quality-related activities meet compliance standards.

Strong analytical skills, attention to detail, and the ability to balance quality standards with operational timelines are essential for success in this position.

Primary Duties (including, but not limited to):

  • Product Batch Issuance & Release
  • Submitting work order requests (WKRs) for internal inventory management projects.
  • Processing and either approving or rejecting WKRs received for all other projects - processing & packaging.
  • Creating ClickUp tasks and completing any work needed to fill gaps identified in documentation that are discovered during the WKR processing. For example, if a SOP is determined to need an update or is found to be missing - creating a task and completing the work needed to get that document updated or authored.
  • Creating and issuing product batch records (PBRs) to the “In Process” lifecycle state on C15 associated with all approved WKRs, for both internal inventory management and all other projects.
  • Creating and issuing the executed batch records (EBRs) associated with all approved projects to ensure that all department heads have the paperwork they need to document their work on each project.
  • Completing reviews of all paperwork and photos received to group individual EBRs into the compiled EBR that will be attached to each PBR on C15.
  • Completing mass balancing and yield reporting for each PBR on C15 prior to release, providing mass balancing/yield reports on each project’s associated ClickUp task.
  • Completing COA reviews for both R&D and full panel analyses, updating the PBRs and EBRs on C15, and posting reports on pass/fail to ClickUp tasks.
  • Quality Events
  • Creating quality events associated with any quality issues identified or reported to you throughout the course of your shift.
  • Coordinating with the QA/QC Manager and/or QA/QC Supervisor to complete quality events as needed. Examples of quality event types include but are not limited to:
  • Complaints
  • Incident Reports
  • Planned Deviations
  • Unplanned Deviations
  • RCA/CAPA Investigations
  • Out of Specification
  • Change Controls
  • Continuous Improvement Initiatives
  • Document Control
  • Identifying gaps in documentation between what is currently on file on C15 and what is being done in practice / reality. Documentation types can include but are not limited to:
  • SOPs & associated quizzes
  • MMPs
  • PQPs
  • MBRs
  • Individual Batch Record forms
  • Coordinating with and assisting department heads as needed to ensure that all identified updates are implemented within a reasonable timeframe.
  • Data Entry & Analysis
  • Complete regular audits of data entries by other departments to ensure accuracy. Ensure 100% accuracy in the verification of information across all systems and correct any data discrepancies or errors.
  • Analyze data trends, metrics, and KPIs to identify process improvements and make recommendations for production, quality, and operational changes.
  • Promptly identify data entry or documentation issues such as missing data, illegible information, or formulas that are throwing errors; collaborate with relevant teams to correct all issues identified.
  • Regularly review and propose enhancements to data entry and verification processes to improve data integrity and operational efficiency.
  • Inventory Management
  • Complete monthly inventory audits to ensure inventory accuracy.
  • Overseeing and managing the cold storage inventory of products.
  • Reporting
  • Updating ClickUp project tasks with any relevant updates including but not limited to:
  • Mass balancing/yield reports
  • Providing reports on what has been received vs. what is missing for documentation and photos
  • Providing reports on any quality issues identified and/or quality events created during the course of your shift.

Additional Responsibilities:

  • Exercise discretion when handling confidential information.
  • Daily cash accounting tasks.
  • Engage in continuous monitoring and reviewing of KPIs to ensure the ongoing effectiveness of the role.
  • Other duties and responsibilities as assigned.

Supervision given: N/A

Evaluation process: 30, 60, & 90-day evaluations as well as annual reviews following this initial evaluation period.

Qualifications:

Minimum qualifications for education, training, and prior experience:

  • A High School Diploma or GED is required.
  • Must be at least 21 years of age
  • Must be able to pass a background screening for employment within the CA cannabis industry after the company makes a conditional job offer

Preferred skills & knowledge:

  • 1 years experience manipulating, analyzing, and translating data
  • Proficiency with Excel, SQL, Power BI or similar data tools
  • Strong attention to detail and organizational skills
  • Ability to draw insights from data trends and patterns
  • Critical thinker and problem solver
  • Excellent communication skills, both written and verbal
  • High attention to detail.
  • Effective written and verbal communication skills

Physical requirements:

  • Requires prolonged sitting, standing, walking, bending, lifting, and use of hands
  • Frequently crouching, stooping, bending, and reaching.
  • Stand for short/ high periods of time.
  • Sit for short/ medium periods of time.
  • Walk for short/high periods of time.
  • Occasionally sit on the floor or at floor level.
  • Handle the responsibilities and routine stress often associated with this position.

Attendance & general performance expectations:

  • 40 hrs. per week minimum, additional hrs. as needed by the production schedule.
