Position Summary
The Accounts Payable (AP) Analyst reviews, reconciles, and analyses all documentation involved in the payment of invoices relating to the merchandise function, company expenses, and employee credit cards. The AP Analyst provides timely and accurate processing and payment of vendor invoices through electronic means and written checks.
Essential Job Functions
· Review all invoices for appropriate documentation and approval prior to payment.
· Match inventory related invoices to purchase orders and receivers in the financial system.
· Research discrepancies in receiving, pricing, freight charges and terms.
· Set up ACH and BillPay payments in online banking and obtain approval of payments. Post payments to the financial system.
· Reconcile and pay Worldwide invoices through the customer portal and post payments to the financial system.
· Reconcile and pay employee credit card statements monthly collecting all receipts and supporting documentation and approvals.
· Complete and process vendor credit applications.
· Set up vendors in the accounting software and obtain IRS form W-9 as necessary.
· Produce IRS forms 1099 misc and interest at year-end.
· Maintain all accounts payable reports, spreadsheets and corporate accounts payable files in electronic form.
· Prepare Fish & Game reports for each store and reconcile to State of Alaska Dept. of Fish & Game’s system.
· Provide tax-exempt documents to vendors as necessary.
· Serve as back-up to the Controller with payroll and benefits coordination as necessary.
Non-Essential Job Functions
· Coordinate and assist with special project/events.
· May be required to run errands on behalf of the accounting department.
· Drive motor vehicle as needed.
· Perform other job-related duties as assigned.
· Answer all vendor inquiries.

Supervision Received and Exercised
This position is supervised by the controller/human resources director. No supervision exercised.
Physical and Mental Demands
The physical demands of this position require frequent standing, walking, sitting, speaking, and hearing. Requires near vision to write and read printed materials and computer screens. Requires hearing and speaking to exchange information on the telephone or in person. The employee is regularly required to reach with his/her hands and arms and lift items weighing up to 40 lbs. Must be able to use carts, ladders, dollies, and stools to assist in moving or shelving items. Requires sufficient arm, hand, finger dexterity to operate a keyboard and other office equipment. Repetitive motions with wrists, hands, and fingers may also be required. Requires the ability to operate a vehicle safely. Requires the ability to climb a flight of stairs. Additionally, the employee must be able to communicate by oral and written means in an appropriate business manner and have cognitive skills to understand instructions, readily recall facts and details, handle conflict, and make effective decisions under pressure.

Work Environment
This position is performed in an office setting with the offices located on the second floor of a retail store. The employee will occasionally be on the retail floor among clothing and related fixtures or in the warehouse among boxes of clothing and financial records.
Job Qualifications
The following are required:
· High school diploma or GED.
· Specialized training or equivalent experience in Microsoft Office Suite of programs.
· Two years of accounts payable processing.
· General knowledge of business.
· Broad knowledge and experience in office operations and accounting/bookkeeping practices.
· Above average skills in organizational abilities, computer operations, and basic math.
· Excellent skills in oral and written communication.
· Demonstrated ability to complete required tasks and assignments outlined in the job description or otherwise assigned.
· Demonstrated ability to take initiative to perform job duties not specifically assigned and/or make changes to current processes in order to improve the position, department and/or company.
· Demonstrated ability to focus on the task at hand.
The following is preferred:
Associate degree or equivalent from a two-year college or technical school.
Additional job information
This position requires regular attendance in accordance with established schedule as this is the most common time to conduct business with customers, vendors and employees. Employees must also possess the following abilities:

Job Type: Full-time
Pay: $47,840.00 - $52,000.00 per year
