Position Summary
The Front Desk Manager is responsible for overseeing the daily operations of the front desk, ensuring a high
level of guest satisfaction, and maintaining a professional and welcoming environment. This role involves
managing front desk staff, coordinating reservations, handling guest inquiries and complaints, and overall
management of the operations of the front desk. The Front Desk Manager must possess strong leadership,
communication, and problem-solving skills to maintain smooth front desk operations while upholding
company policies, service standards and providing support to BASE Operations Manager and BSCO CEO.
Essential Job Functions
Including but not limited to:
Pass Sales
- Become proficient in RecTrac.
- Competency in RecTrac functions: Report Output Listing, Global Sales, Household Management, Activity
Management and Activity Section Management.
- Cash handling.
Guest Reception and Customer Service
- Provide excellent member service.
- Create a warm and welcoming environment for the Big Sky Community.
- Assist members with the development of their experiences and engagement.
- Establish and maintain good relationships with volunteers, staff, members, and program participants.
- Address passholder concerns immediately, elevating any critical concerns to the appropriate leader.
- Stay up to date on community-wide events, happenings, programs and services.
Safety
- Continually inspect facility to ensure proactive/preventative maintenance and inspect the facility for safety
and cleanliness. Keeps documented records of findings for Operations Manager.
- Check all AED’s and fire extinguishers on a monthly basis.
- Exhibit thorough understanding of operating procedures and policies in all departments, including emergency
procedures.
- Act as Incident Command in the absence of BSCO CEO and BASE Operations Manager.
- Complete incident reports as needed; submit them to the appropriate manager.
- Preform MOD walks checking: HIVE, mechanical room, MP, fitness center, restrooms, etc.
- Assist BASE Operations Manager in safety and emergency protocols.
- Complete incident reports as needed; submit them to the appropriate manager.
Administrative Tasks
- Manage the hiring process of BASE Building Attendants.
- Assist BASE Front Desk Manager in the hiring process of BASE Action Coordinators.
- Manage BASE Building Attendant inventory and purchasing.
- Assist BASE Front Desk Manager with front desk involvement in all events and activities.
- Complete inventory checks of BBA paper products and chemicals.
- Assist BASE Front Desk Manager with inventory of front desk.
- Update the google calendar for the BSCO website.
- Manage 1 on 1’s with staff members.
- Assist BASE Operations Manager with all BASE room rentals requests and room setup.
- Train all new BAC and BBA staff.
- Manage (or assist BASE Front Desk Manager) tickler and pass cheat sheet updates.
- Manage (or assist BASE Front Desk Manager) cancellations and determines refunds.
- Update CC Expense Report in SharePoint.
- Ensure BASE front desk daily checklist completion.
- Assist BASE Operations Manager with pass structure.
- Act as a leader and mentor for all BASE Action Coordinators and BASE Building Attendants.
- Carefully and tactfully respond to member comments and inquiries via e-mail.
Cleaning
- Ensure quality control of outsourced weekly cleaning.
- Assist with all cleaning duties of the BASE building.
- Inspect BBA work and ensure it is up to standard.
- Maintain the overall cleanliness of BASE.
Operations
- Manage operations of the Climbing Wall.
- Manage overall safety of the Climbing Wall.
- Manage staff Climbing Wall knowledge and trainings.
- Uphold and enforce company policies.
- Work with BASE Operations Manager to assess and improve processes and policies.
- Assist BASE Operations Manager in enforcing policies and procedures.
- Manage room flips based upon program needs.
- Follow policy, process, and best practices.
- Assume other duties deemed necessary by BASE Operations Manager.
