Job Summary

The HVAC Installation Coordinator plays a crucial role in managing day-to-day scheduling operations and ensuring that jobs are ready for installation. This position involves coordinating communication between installers, field supervisors, customers, vendors, and the office. The Installation Coordinator is responsible for creating department job files, contacting customers and contractors regarding scheduling issues, scheduling subcontractors and inspections, and overseeing company purchasing duties according to established procedures.

Essential Duties and Responsibilities

The essential functions include, but are not limited to the following :

  • Update and maintain the schedule board with all sold jobs, and communicate scheduling issues with other departments, including sales.
  • Check paperwork and timecards from the previous day's job, and schedule any punch lists or uncompleted items.
  • Ensure all jobs have permits, and inspections are called promptly.
  • Capture all information from the sales department for the installation department.
  • Ensure that all equipment and materials are ready and staged for installation.
  • Schedule subcontractors with a five-day lead time.
  • Schedule and coordinate install schedules with clients, keeping them updated on job status and progression.
  • Follow up with clients to confirm job completion and satisfaction.
  • Coordinate with vendors regarding returns, warranty, delivery, etc.
  • Coordinate van service and repairs with the fleet supervisor.
  • Coordinate scheduling for Service Technician labor five days prior to the project with the Service Dispatcher.
  • Facilitate any job site deliveries and ensure purchase orders have been procured and staged.
  • Know the whereabouts and progress of the crew daily.
  • Return customer calls promptly, resolving open issues efficiently.
  • Process extended warranties and customer rebates.
  • Oversee and participate in quarterly inventory counts.
  • Complete paperwork for job costing, orders received, etc.,
  • Schedule layouts and update layout & design schedules, coordinating with the Installation Manager.
  • Additional duties as assigned.

Minimum Qualifications

  • Advanced customer service skills
  • Ability to multitask
  • Strong computer skills (CRM, excel skills, etc.)
  • Organized
  • Geographical knowledge of sales area or map reading skills
