The Surgery Scheduler II is responsible for coordinating clerical and administrative support functions within the Orthopedics Department. Appropriately interacts with physicians, patients, family and staff. Supports unit activities to ensure smooth functioning of the surgical process and assures the appropriate clinical and insurance information is collected for the surgery scheduled. Responsibilities include but are not limited to surgery scheduling, orientation/training, development/mentoring, physician relationships, intradepartmental and interdepartmental activities, quality control and process improvement activities.

Essential Job Functions

• Maintain a detailed knowledge of the Cerner system functionality and structure to ensure Orthopedics Surgery Scheduling is seamless. Participates in maintaining the integrity of the system data. Develops and maintains records and files in an organized manner.
• Communicates appropriately with customers to identify concerns and issues, investigates and coordinates resolution of non-routine problems. Initiates appropriate follow-up to ensure that all matters requiring attention are addressed promptly and efficiently. Refers more complex problems to the Manager or Director as appropriate.
• Identifies needs and sets goals for own professional growth and development; meets all system/departmental educational requirements.
• Maintains competency in all organizational, departmental, and outside agency safety standards relevant to job performance.
• Designs and produces documents, forms, reports and data graphs for projects and programs based on needs identified by the staff and/or leadership. Duties include data gathering, database extractions, and data analysis for various projects and preparation of a variety of reports and data graphs requiring independent judgment with minimal supervision.
• Facilitates and ensures that comprehensive, multi-disciplinary collaboration of care occurs with the patient, family, physicians, and other health care providers. Coordinates and communicates contraindications to attending physician and/or anesthesiologist as appropriate. Follows anesthesia and department specific protocols.
• Ensures appropriate and timely documentation
• Demonstrates a productive work ethic
• Works consistently as an active team player, inter-and intra-departmentally.
• Contributes to an environment of quality and process improvement.
• Ensures and enhances facility, safety, and regulatory outcomes through compliance with all applicable laws, regulations, accrediting agencies, and Billings Clinic policies.
• Demonstrates effective internal and external communication strategies, written and verbal, to assure a collaborative environment
• Coordination of insurance and authorization management.
• Adherence to guidelines and data collection for Center of Excellence for Advanced Orthopedics, Total Joint Certification, Advanced Hip and Knee Certification and Advanced Foot and Ankle Certification.
• Performs all other duties as assigned or as needed to meet the needs of the department/organization.

Minimum Qualifications

Education
• High School or GED

Experience

• Two years of progressive experience in coordinating activities and information/data management preferably in a health care field. Prior experience must have also included interactive customer service responsibilities
