Reporting to the Senior Property Manager, the Tenant Relations Coordinator is responsible for supporting the day-to-day administrative functions for the property management team.
Job Responsibilities:
- Provide full administrative support to Property Management team
- Handle all front desk responsibilities, including answering phones and greeting guests
- Answers and dispatches incoming property management calls to appropriate team members
- Tracks certificates of insurance documents for tenants and building contractors
- Assist with accounts payable invoice processing as directed by manager
- Ensures that tenant reimbursement billings are sent out and collected.
- Assists with follow up calls to tenants after work orders are complete
- Schedule and coordinate meetings and special events as requested.
- Handle tenant work orders and follow up to make sure tenants are satisfied
- Create and distribute monthly Tenant Newsletter
- Maintain and update Tenant Contact lists
- Coordinate tenant events including welcome and holiday events and tenant lunches
- Handle reservations for taking tenants to lunch
- Track all events hosting tenant decision makers
- Create community service programs including building events in addition to partnering with tenants on their community service events
- Create an IBP Fitness Program partnering with LA Fitness
- Connect with tenants on a monthly basis during monthly candy delivery
- Tenant liaison for-
- Work orders
- Coordination of tenant events such as: pumpkin painting contest; holiday cookies; build your own sundae;
- Coordination of monthly luncheons for you and me with IBP decision makers
- Coordination of monthly community service events – Examples: blood drives; e-waste; community shredding; Earth Day; Souls for Souls shoe drive; school supply drive; fill an Easter basket; Toys for Tots; etc.
- Coordination of an IBP Fitness Program – Promote associated savings with LA Fitness; promote walking by measuring distances around each building & creating a map for each building (maybe after it’s under 90 degrees!); find sponsors for fitness lunch ‘n learns, etc.
Job Qualifications:
- High School Diploma required, some college strongly preferred
- Familiarity with property management, a plus
- Proficient in Microsoft Office products (Excel, Outlook, Word Etc.)
- Knowledge of Yardi, Voyager not required, but very helpful
- Self-Motivated with a high sense of urgency
- Strong attention to detail and highly organized
- Customer service oriented with excellent follow-up skills
- Team player and problem solver
