What are the responsibilities and job description for the Marketing Project Coordinator - Full Time position at Biltmore Estate?

Full Time: a position averaging 35 hours per week.

The Marketing Project Coordinator will provide a wide range of project management support to the Marketing team. The PC will have primary responsibility for managing execution of project requests from marketing managers and assigned business leaders. The PC will serve as the primary liaison between our internal marketing managers and communications team or assigned business leaders to ensure projects are completed on target, on-time, on-budget and on-brand.

Schedule: Monday - Friday, 40 hours per week.

Requirements:

1. Minimum of two years college or related experience.
2. Ability to manage multiple projects independently with little direction.
3. Advanced knowledge of computers including Microsoft Office software (Outlook, Word, Excel, PowerPoint) and Adobe Acrobat Pro DC.
4. Excellent oral and written communication skills.
5. Outstanding organizational, problem-solving and planning skills.
6. Ability to be a team player in a fast-paced, dynamic department.
7. Resourceful and solution oriented.
8. Ability to learn quickly, multi task and prioritize to meet deadlines

Physical Requirements:

1. This position works primarily in an office environment.
2. Ability to lift up to 15 pounds occasionally.

Essential Job Duties:

1. Lead tactical execution of the marketing strategy & assigned businesses.
2. Represent the business needs and interests of marketing managers or business leaders as the client.
3. Serve as primary contact for marketing project requests (print and digital).
4. Initiate and manage marketing project requests/jobs through the Teamwork workflow management system and Box cloud.
5. Manage expectations and anticipate needs of marketing managers or business leaders and communications team (graphic design, editorial, web, email, production, PR and social media).
6. Negotiate and prioritize timelines and budgets to ensure all deadlines are maintained. Problem solve and actively provide solutions to help meet project requirements.
7. Responsible for ensuring information is complete, clear and accurately captured within project/job requests prior to distributing to production for scheduling.
8. Keep marketing manager or business leaders up-to-date on all projects. Distribute initial project/job time line to marketing manager or business leader. Provide weekly status updates on projects/jobs to marketing manager or business leader. Provide
additional project reports as needed.
9. Monitor and facilitate movement from one step to the next by working closely with production to ensure necessary scheduling and trafficking of all projects/jobs.
10.Work with communications team to determine production specifics i.e. design, content, images.
11.Leverage knowledge and understanding of graphic design, editorial, web, email, production, PR and social media to facilitate effective communication between communications team and marketing managers or business leaders.
12.Proofread and perform quality control checks for all projects and creative (print and digital) prior to sharing with marketing managers or business leaders to ensure accuracy.
13.Coordinate all routing and approvals of projects/jobs. Present concepts to marketing managers or business leaders, obtain and compile feedback, and translate that feedback for the communications team within the system.
14.Provides final sign-off on projects/jobs to ensure compliance with creative brief and project specifications. Works with production team to ensure timely project delivery and proper installation.

Additional Responsibilities:

1. Act as brand steward, upholding brand consistency in all projects (print & digital).
2. Coordinate and facilitate in-person and Webex meetings as needed between our internal marketing managers and communication team or business leaders to ensure final output is on mark.
3. Process invoices: Review for accuracy, provide invoice data entry and submit for payment.
4. Primary marketing contact when needed for coordinating local advertising.
5. Provide general assistance and support for leadership, the department, and the company as required.
