Job Summary

The Property Manager is charged with the day-to-day implementation of those policies, procedures, and programs that will assure well managed, well-maintained assets, placing maximum emphasis on positive response to the concerns and needs of the tenants, environmental health and safety, and quality preventive maintenance programs.

Essential Job Functions

  • Operational Management: The Property Manager is charged with the day-to-day operational management of all aspects of the properties. The Property Manager shall coordinate with the Maintenance Team to ensure that all fire, life safety and other safety policies and protocols are established and followed and ensure the Emergency Procedures are up to date for each property.
  • Supervisory Responsibilities: Supervise and give direction to Maintenance Technicians, vendors, and contractors when necessary. Responsibilities include interviewing, hiring, and training employees; planning, directing/following up on work orders; appraising performance, addressing complaints and resolving problems.
  • Tenant Relations: The Property Manager is responsible, at all times, for a positive and prompt response to requests from building tenants, for the implementation of ongoing contract programs, to constantly assess tenant needs and to assure problems are being solved promptly to the mutual benefit of the tenant and the properties.
  • Contract Services: The Property Manager is responsible for the selection of contract services for commercial and multi-family, vendor negotiation of service agreements and day-to-day monitoring of vendor performance to assure full compliance with standards established within the service agreement.
  • Public Relations: The Property Manager shall maintain a positive image of himself/herself, the property, Biltmore Farms, LLC, and the tenant at all times in the community.

Accountabilities

  1. Develop, communicate, and monitor property budgets/capital budgets on a timely basis in a manner that supports the financial expectations of the Company and tenants and allows the property to remain within budget.
  • Prepare initial property budget drafts in a timely and professional manner
  • Secure necessary approvals
  • Monitor compliance with established budget
  • Complete year-end tenant reconciliations

Coordinate, negotiate and issue vendor contracts for property-level services in accordance with the parameters of the Company and the budget.

  • Carefully review all property service contracts in preparation of bidding
  • Coordinate the bidding process to achieve savings while maintaining excellence in property service

Leasing Efforts:

  • Assist in the leasing efforts of the properties. Properties should meet or exceed new and renewal leasing projections.
  • Assist in the preparation of the Marketing and Leasing Plan for Town Square
  • Assist with lease renewals, as needed

Tenant Upfit Responsibilities:

  • Oversee construction of new tenant upfits and remodels from start to finish
  • Inspect all up-fit projects and report in writing violations of Contractor/Building Rules and any potentially hazardous or dangerous conditions

Tenant Relations:

  • Visit tenants regularly. Know the managers.
  • Encourage retail stores' participation in all advertising and events
  • Act as liaison with chain store and regional home offices
  • Respond to their questions; keep them informed at all times

KNOWLEDGE, SKILLS, & ABILITIES

  • Ability to establish strong interpersonal relationships with team members, tenants, and vendors.
  • Strong organizational skills, ability to prioritize work and attention to detail
  • Proficiency in Outlook, Word, Excel, PowerPoint and general knowledge of various systems used for accounting, property management, document management, or commercial leasing.
  • Proven ability to manage projects, work under pressure and consistently meet deadlines.
  • Experience in fast-paced environment and proven ability to prioritize multiple responsibilities.
  • Proven ability to work in a team environment. Strong teamwork skills and a strong ability to offer suggestions and improvements to process and work effectively.
  • Strong customer-service skills.
  • Ability to adapt to change within the organization and the needs of the Company.
  • Ability to communicate both verbally and in writing with Management, tenants, owners, vendors, and the public.
  • Have a general understanding of property management accounting; including budgeting, financial statements, and CAM reconciliation
  • Ability to read architectural drawings.
  • Responsible for assisting VP of Construction with reviewing and making recommendations for system-related mechanical drawings, providing technical advice for construction, building systems and equipment.
  • Have a good working knowledge of electrical, plumbing, building, roofing and mechanical systems.
  • Have thorough knowledge of all locations of power, water, and gas shut offs, plumbing cleanouts, fire extinguishers and fire hydrants associated with each property.
  • Proficient in computer technology and job-related programs.
  • Use good safety habits and common sense; ability to take necessary action in emergencies.

JOB SUMMARY

The Property Manager is held accountable for their independent actions, within the guidelines of the job description, budget, with primary emphasis on visible, hands-on management of the properties.

To facilitate good communication and participate in the emergency on-call rotation as scheduled, the Manager shall be required to carry a company paid cell phone at all times when on call and to respond promptly to emergencies (must physically be able to respond within 45 minutes when on call), or for other vital communications and monitor emails after hours when on call except when prior arrangements have been made and approved for vacations or other time off.

The Property Manager may need to make use of their personal vehicle for work related duties; therefore, the manager shall maintain a current driver's license in the state of employment and shall maintain appropriate insurance at all times.

The Property Manager will assume any special assignments and/or additional duties as delegated or required by Management.

MINIMUM QUALIFICATIONS:

Any combination of education and experience equivalent to:

  • Bachelor's degree (B.A. or B.S.) from four-year college or university preferred;
  • AND five to eight years related experience and/or training;
  • OR equivalent combination of education and experience.
  • NC Real Estate License is a plus.
