Job Title: Legal Assistant / Receptionist / Intake Manager
The ideal candidate is energetic, punctual, organized, well-presented, welcoming, professional, bilingual (Spanish preferred), charming, clean, and able to represent the law firm well as a professional in all aspects as the first person most clients and colleagues will see or speak with when contacting the firm. The candidate will be responsible for assisting attorneys in communicating, scheduling, billing, filing, preparation and all other aspects of legal assistance.
This role will work closely with attorneys, law clerks, and paralegals, providing the support of a legal assistant. Successful candidates will be responsible for areas including but not limited to the following.
Responsibilities
- Answer phones
- Greet clients and potential clients
- Communicate with clients and potential clients in English and Spanish
- Be punctual at all times
- Handle billing matters and process client payments
- Assist with case management
- Coordinate and schedule calendars and appointments
- Trial assistance
- Prepare simple legal documents, including pleadings, motions, affidavits, complaints, and legal memoranda
- Organize and e-file all court documents in state and federal court
- Communicate with clients, courts, counsel, and others
- Draft and serve summons
- Coordinate and summarize depositions
- Prepare trial binders and exhibits
- Maintain pleadings and discovery indexes
- Filing
- Organizing exhibits, documents, evidence, briefs, and appendices
- Aid attorneys with numerous aspects of their occupation
- Gather relevant information from various sources
- Help with witness preparation
Qualifications
- Associate's Degree, certificate, or equivalent work experience
- Experience in Civil Litigation in South Florida (preferred)
- At least 2 years of working experience as a receptionist/assistant or in legal services under an attorney or lawyer in a law firm setting
- Ability to multitask, organize, prioritize, handle a fast-paced environment, and manage workload with a positive attitude and minimal supervision
- Strong written and verbal communication skills, as well as attention to detail
- Bilingual (Spanish)
