What are the responsibilities and job description for the Senior Financial Awards Analyst position at Bioindustrial Manufacturing and Design Ecosystem ( BioMADE)?
The Senior Financial Awards Analyst for Manufacturing Infrastructure will be responsible for managing the expense and award tracking, transaction logs, financial bookkeeping, reporting, and audit preparation for all spending and vouchering related to BioMADE's bioindustrial pilot plant network, including the build-out of pilot plants. This position will follow existing processes and procedures and develop new processes where needed to support BioMADE’s financial and business services operations.
BioMADE’s funding portfolio is complex, including federal, state, and private financial support, and significant and complex cost share. Most of BioMADE’s federal funding is governed by 2 CFR 200 (Uniform Guidance). One of BioMADE’s major initiatives is to develop and operate a network of manufacturing facilities across the U.S., which is designed to serve the needs of private industry and government entities. This position will be a responsible for managing BioMADE’s financial and grant accounting, business services, and compliance activities specifically related to this network of manufacturing facilities and will work closely with BioMADE's business stakeholders, existing grant accounting team, accounting and financial operations team, and BioMADE’s third-party service providers for accounting, business services, and reporting infrastructure.
Essential Duties and Responsibilities
- Follow processes to support BioMADE in ensuring that financial activity meets all BioMADE audit and reporting requirements, including as a “major nonprofit organization” as defined in 2 CFR 200 and as a 501(c)(6) non-profit organization.
- Collaborate on developing complex budgets for federal, state, and other awards relating to the pilot plant network, including review of initial proposals and ongoing revisions.
- Develop systematic analysis and tracking of awards and subawards, including associated management fees.
- Review and ensure completeness in related expenses, including payroll allocation, assigning external purchases to appropriate account categories, subawards, and grant funds.
- Audit and approve expenditures to ensure compliance with BioMADE policies and 2 CFR 200.
- Monitor spending associated with pilot plant network to ensure actual spend and budget are reconcilable.
- Interact with Federal and State government stakeholders to ensure timely and accurate vouchering for advances and expense reimbursement, including preparation for potential government audits of assigned programs.
- Interact with vendors and/or sub-recipients to ensure timely and correct invoice submission.
- Work closely with accounting operations to ensure proper data is captured timely for revenue recognition and other general ledger activities.
- Perform account reconciliation and research, analyze and resolve discrepancies for assigned BioMADE accounts.
- Monitor capital purchase requests to ensure that accounts are reflected appropriately in respective system of records (e.g., NetSuite) and that the assets are recorded and depreciated appropriately.
- Create and prepare financial reports, including developing systematized reports, as assigned.
- Maintain financial records in NetSuite and associated applications ensuring the integrity and confidentiality of BioMADE’s financial data.
- Follow standard accounting procedures, best practices, and BioMADE’s financial policies and procedures.
- Make recommendations for methods to reduce expenses and improve efficiencies.
- Complete special projects for Finance leadership, as assigned.
