Job Description
As Front Desk Associate, you will be responsible for providing excellent customer service and administrative support. You will manage the reception area, handle inquiries, enter purchase orders, and assist visitors and clients. This role requires strong communication skills, attention to detail, and the ability to multitask efficiently.
Requirements
Greeting Visitors/Clients: Warmly welcome visitors, clients, or customers as they arrive at the office. Provide assistance, answer questions, and direct them to the appropriate personnel or department.
Answering Phone Calls: Manage a multi-line phone system and answer incoming calls promptly. Take messages accurately and relay them directly to the intended recipient. Follow up on any voicemail messages.
Scheduling Appointments: Schedule appointments and maintain calendars for meetings, conferences, and appointments. Coordinate with staff members to ensure efficient use of time and resources.
Handling Correspondence: Receive and sort incoming mail, packages, and deliveries. Distribute mail to the relevant recipients and handle outgoing mail and packages as necessary.
Maintaining Reception Area: Keep the reception area tidy and presentable at all times. Ensure that reading materials, brochures, and other resources are stocked and organized for visitors.
Providing Information: Act as a resource for visitors by providing information about the organization, its services, and its policies. Assist with inquiries related to directions, facilities, or general information.
Administrative Support: Assist with various administrative tasks, such as data entry, filing, photocopying, and scanning documents. Provide support to other departments as needed.
Security and Access Control: Monitor and control access to the premises, ensuring the security and safety of employees, visitors, and assets. Enforce security procedures and protocols as required.
Customer Service:
Data Entry and Analysis:
Purchase Orders: Receive, review and process customer purchase orders following the company’s order processing procedure.
Create and send out customer letters, help with data updates, compile info for reports, etc.
Regularly communicate with customers to provide feedback on open orders.
All other duties as assigned.

- High school diploma or equivalent.
- Previous experience in a customer service or receptionist role is preferred but not required.
- Excellent communication skills, both verbal and written.
- Strong organizational and multitasking abilities.
- Proficient in using Microsoft Office Suite (Word, Excel, Outlook).
- Ability to work independently and as part of a team.
- Professional appearance and demeanor.
