About Us: Biophore Pharma Inc. is a rapidly growing Generic Pharmaceutical Company dedicated to providing high-quality and affordable medications. We are seeking a diligent and organized Bookkeeping and Administrative Assistant to support certain financial and administrative operations in our New Jersey Offices.
Position Overview: The Bookkeeping and Administrative Assistant will report to the Director at our NJ office and help with certain bookkeeping and administrative tasks. This is NOT a remote position.
Key Responsibilities: The primary responsibilities in the role are bookkeeping and secondary aspects include administrative and other day-to-day operations.
1. Bookkeeping Duties:
- Prepare and send invoices to customers ensuring accuracy and compliance with company policies, ensure timely processing of invoices and payments, manage accounts receivable by following up on outstanding invoices to ensure timely collection of payments
- Issuing purchase orders, track vendor activities to maintain accurate records
- Maintain accurate financial records and perform regular reconciliations, preparing weekly and monthly financial reports for management review
2. Administrative duties:
- Coordinate shipping logistics, including communication with customs brokers to ensure clearance activities and timely delivery
- May need to help with small renovation projects in the office which may include coordinating building permits, placing and overseeing work orders with contractors
- May need to help with planning and managing yearly pharma business conferences, including logistics, scheduling, and visitor assistance
- Manage general day-today office operations, including supply inventory and equipment maintenance
Human Resources (Future Responsibilities):
- Assist in HR functions such as onboarding new employees, maintaining personnel records, and coordinating training sessions.
Qualifications:
- Bachelor’s degree
- Proven experience in bookkeeping and administrative roles.
- Proficiency in accounting software (e.g., QuickBooks) and Microsoft Office Suite.
- Excellent organizational and multitasking abilities.
- Strong attention to detail and problem-solving skills.
