Birch, Stewart, Kolasch & Birch, LLP, an internationally recognized intellectual property law firm located in Falls Church, VA, has an exciting opportunity for a qualified Basic Formalities Specialist. The Basic Formalities Department serves as the primary and direct support system for attorneys regarding the reporting of Office Actions, Notices of Allowance, Letters Patent and Issue Notifications. Other duties include overseeing patent maintenance fee related issues and other duties as assigned. The Formalities Specialist serves as the interim personnel coverage, as assigned, to ensure continual and consistent support for the Departments. The Formalities Specialist possesses a basic understanding of firm processes and clerical procedures. The Formalities Specialist reports to the IP Manager of the Basic Formalities Department. This is a nonexempt position.
Responsibilities and Duties
- Fully adhere to firm confidentiality standards to include, but not limited to: attorney client correspondence and communications.
- Review, prepare and forward reporting letters to clients regarding, but not limited to: Office Actions, Notice of Allowances, Issue Notifications, Letters Patent and Maintenance Fees.
- Responsible for preparing weekly reports regarding Issue Notifications and Patent reporting.
- Responsible for generating Info only reports from Elite for cases on weekly reports.
- Responsible for reviewing dockets (OAQR)
- Carry out and/or assist in special tasks or duties as requested by the IP Manager of respective Departments.
- Other duties as assigned.

- Minimum high school diploma.
- Minimum of (1) year of experience in the Professional Environment and/or legal environment preferred.
- Knowledge of and experience with general office software such as Microsoft Word, Excel, Access, Outlook, etc.
- Knowledge of and experience with the administrative issues related to an Intellectual Property firm and/or legal environment is strongly preferred.
