Responsible for working in concert with the Director of Admissions to assist with incoming referrals, phone calls and obtaining necessary admissions documents and data entry. This position will visit referral sources and assist the marketing department with on-site booths, conferences and events as it relates to admissions.
To perform this job successfully, an individual must be able to perform each essential duty mentioned satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.
1. Four-year college degree, or equivalent experience resulting in broad knowledge of a field related to the job, such as marketing and/or behavioral health
2. 2 years related experience and/or training or equivalent combination of education and experience.
3. Valid driver’s license
1. Attends and participates in regularly scheduled meetings such as the weekly Director’s meeting, budget meetings, supervision meetings, etc.
2. Knowledge of Birch admission criteria and complete process for completing admission.
3. Serve as the “back up” person for admissions when needed.
4. Maintain full knowledge of pending referrals and required follow-up with referral sources to complete admissions.
5. Maintains and coordinates referrals in an organized manner for both internal transfers and referrals.
6. In concert with the Director of Admissions, maintain a good working relationship with referral sources and visits with those sources on an ongoing basis.
7. Responsible for entering data on referrals and pending admissions into the electronic health record system ensuring the information is accessible, thorough, and understandable.
8. Communicates professionally and appropriately in facilitating admission planning with branches, administration, and outside providers.
9. Responds to referral related emails and phone calls within 24 hours.
10. Maintain open communication with the Admissions Director on all issues, including time management and any other needs or concerns that affect the associate’s performance of duties or the flow of work in the department.
11. Demonstrate compliance with all Birch policies and procedures and commitment to the Birch mission and philosophy.
12. Maintain safety, security, and confidentiality of data, including keeping hard copy and computer data files up to date and in order.
13. Participate in yearly performance evaluations conducted by the Admissions Director.
14. Assist in maintaining documentation of admissions data to present to various committees, as needed.
15. Assist in events, fairs, and/or networking opportunities as needed.
16. The ability to utilize critical thinking skills to problem-solve issues as they arise.
17. The ability to work in a constant state of alertness and in a safe manner.
18. Regular and punctual attendance is required.
19. Perform any other related duties as required or assigned.
