JOB DESCRIPTION:
Accurately and efficiently input, update, and maintain data in computer system and/or database system. Verify data for accuracy and completeness and perform related administrative tasks.
Assist in the administration of the school food service programs by executing budgetary control, operational support, and other functions as assigned in accordance with federal and state laws and regulations, local and state health ordinances, and school district policies.
DUTIES AND RESPONSIBILITIES:
- Perform general data entry duties.
- Perform general secretarial duties.
- Act as a receptionist; receive, screen, and give directions to visitors; answer routine questions concerning system policies and procedures.
- Keep accurate records and information.
- Possess knowledge of policies and procedures and services of the Board of Education.
- Schedule meetings and appointments.
- Post and maintain standard records accurately.
- Receive, sort, and distribute mail
- Answer routine correspondence and complete forms.
- Establish and maintain filing systems.
- Operate standard office equipment.
- Maintain reimbursement claim, meal accountability, and budgetary data.
- Assist in the allocation of equitable reimbursements and expenditures for the Child Nutrition Program.
- Maintain accurate records for federal meal claims for reimbursement for the Child Nutrition Program.
- Assist the department’s director and supervisors in preparing for Federal and State reviews and audits.
- Assist in preparing budgets.
- Prepare department reports as requested including profit and loss statements as well as monthly and annual reports for the State Department of Education.
- Monitor inventory levels on purchased and USDA/Commodity foods.
- Reconcile physical inventories with records.
- Generate and/or reviews inventory reports for balances and shortages.
- Compare inventories to office records and computes figures from records such as invoices to obtain a current inventory.
- Orders and allocates USDA/Commodity foods to schools in a timely manner.
- Enters USDA/Commodity foods into the state web site for distribution from the grocery vendor.
- Ensure all USDA/Commodity are ordered prior to the required deadline.
- Prepare reports as need for the finance department and state department of education.
- Keep area supervisors informed of important inventory issues that may arise at the local schools.
- Recruit, process, and schedule substitute employees for local school sites.
- Coordinate with supervisors and director regarding required forms for any financial or management information as specified by the state or local food service authority.
- Participate in training programs and staff meetings.
- Collaborate with child nutrition programs director or area supervisors in personnel matters.
- Follow recommendations of child nutrition programs director in matters of program operations.
- Working knowledge of computer system or manual register for school sites.
- Assist with interviewing and recommendation process for candidates for employment with child nutrition.
- Perform other duties as assigned.
QUALIFICATIONS:
- High School Diploma or GED required.
- Associate’s Degree or Bachelor’s Degree preferred.
- Experience in the food service operations, business administration, or any equivalent combination of training and experience preferred.
- Proficient in the use of business machines, filing, oral/written communication, and numerical skills.
- Effective interpersonal skills, with an emphasis on communication and collaboration. Effective computer skills.
- Possess and demonstrate high ethical standards, accountability, and integrity.
- Possess or be able to obtain a Serv-Safe Certification according to the requirements set forth by the Jefferson County Health Department.
