JOB DESCRIPTION:
The Executive Secretary assists the Chief of Staff with managing a variety of operations and functions of the
department. The support and assistance provided by the Executive Secretary will extend beyond traditional
office and clerical duties and will include special administrative support projects that will ensure the efficient
operation of the department and ultimately the school district.
- Performs a variety of administrative or executive support tasks that are highly confidential and sensitive.
- Coordinates office management activities for the Chief of Staff.
- Coordinates and facilitates the Chief of Staff’s calendar to arrange appointments, meetings, and
- Ability to use computer programs and technology applications to create a variety of communications
including school principals.
- Assists with managing the department’s budget.
- Attends meetings, takes and transcribes minutes, prepares reports and summaries.
- Prepares agenda and collects materials for meetings, speeches, and conferences.
- Reads and screens incoming correspondence and reports; makes preliminary assessment of the importance
to the Chief of Staff or other staff within the division.
- Must be able to multi-task and meet deadlines regularly.
- Must have the ability to make people feel at ease by being gracious and welcoming or able to smooth the
