Summary/Objective

The Director of Concert Hall and Theater Events is responsible for managing, planning and executing event and operational aspects of the BJCC Concert Hall and Theater. The position oversees all aspects of concert hall and theater operations including front of the house and stage operations during events to ensure an exceptional guest experience and quality production experience. Manages Theatrical Event Management team. Directs the Theatrical Stage Production Manager in the delivery of services to events. Develops and implements operating standards, training and procedures. Interact with and maintain rapport with the clients, BJCC partners (service providers) and teammates.

Essential Duties/Responsibilities

Demonstrates understanding and full performance ability in each of the following:

  • Collaboratively lead, plan coordinate, and execute a high level of guest service and event management for all Concert Hall and Theatre Events.
  • Advance all shows/events to determine needs and effectively communicate to all departments.
  • Create and maintain strong relationships with clients, vendors, BJCC partners, and BJCC teammates; liaise with other managers to ensure the effective and efficient program delivery.
  • Work with event promoters or clients regarding venue capabilities.
  • Resolve guest concerns and complaints.
  • Work with teammates and partners to develop, communicate and monitor standards for venue services and condition
  • Engage concessions Partner on any food and beverage requests.
  • Develop and execute persuasive written and verbal communications for planning and coordinating events
  • Maintains frequent contact with client throughout event, to ensure all needs are met.
  • Create directional signage to guide guests to correct location.
  • Efficiently manage logistics and planning associated with large, high-profile events, such as concerts, Broadway productions, and sporting events.
  • Maintaining an updated file on all events
  • Produce event cost estimates to clients and potential clients
  • Coordinate with Box Office for seating configurations, scaling and sales management.
  • Assess and evaluate event operational needs, services, as well as identify potential event challenges in order to plan for contingencies.
  • Allocate resources and determine BJCC partner and staffing needs based on event criteria.
  • Input data into CONCENTRICs per department standards detailing operational needs.
  • Produce event settlements and supporting records on all events.
  • Review contracts and riders to make sure all critical event needs are met.
  • Guide and collaborate with BJCC partners and teammates, setting specific goals to implement client contract requirements.
  • Manage crowd flow using techniques that mitigate risk, control traffic, and safely handle emergency evacuations.
  • Provide input on stage operations, rigging, lighting and other related aspects of live event production.
  • Complete required documentation for events for any changes.
  • Provide and share event planning and production information with partners throughout the complex to ensure satisfied clients.
  • Inspect and monitor physical condition of front of house and back of house areas to ensure excellent condition for facility users and patrons.
  • Oversee and Manage the Concert Hall/Theatre Event Manager and Theatrical Stage Operations Manager positions.
  • Provide suggestions for event production improvements by collaborating with other BJCC department managers.
  • Assist in preparation of venue budget with Senior Director and General Manager.
  • Execute and manage approved budget
  • Arrange and attend meetings which aid in the coordination and planning of events.
  • Coordinate with fire Inspector ensuring safety policies are in compliance for upcoming shows/events.
  • Maintain, at all times, high standards, positive attitude, and professional appearance

Work Environment

This position may have a moderate to extensive stress level associated with dealing with crowds of public visitors. The environment is mainly indoors, however position may be required to work outdoors and exposed to the elements (heat, rain, etc.).

Physical Demands

Duties require extended periods of sitting and/or standing. Moderate amount of physical effort such as walking, standing, climbing, bending, stooping, squatting, and kneeling. Requires walking between venues for extended periods of time during events. Ability to lift up to 30lbs with or without assistance, while maintaining good balance. Must be flexible enough to reach above shoulder level and be able to push and pull for brief periods of time. Visual acuity, speech recognition, and speech clarity.

Position Type/Expected Hours of Work

This is a full-time position; hours of work must be flexible and varied to meet the demands of the events of the facility. Must be able to work extended and/or irregular hours including day, nights, weekends, and holidays, as needed to meet the event demands.

Required Education And Experience

  • A minimum of ten (10) years related knowledge, experience, and skills in Arena/Stadium/Performing Arts/Convention Centers, with at least five (5) years in a senior management role at a large arena, performing arts theater or amphitheater.
  • Bachelor’s degree from an accredited college or university with an emphasis business administration, hospitality, or public administration, performing arts or equivalent combination of education and experience is required.
  • Must be able to work extended and/or irregular hours including day, nights, weekends, and holidays, as needed.
  • Must have extensive event industry knowledge and experience with facility event operations topics, such as: box office; public food service; box suite catering; events staffing; IATSE and stage operations; decorators; audio-visual requirements; concerts; stage plays; and family shows.
  • Must be experienced at reading, analyzing, and interpreting show riders, schematics, floor plans, rigging plots, general business documents, and governmental regulations.
  • Valid State of Alabama Driver License.

  • Knowledgeable of established safety practices and applicable fire codes pertaining to public facilities.
  • Capable of multi-tasking, excellent time-management, prioritizing skills and detail oriented.
  • Ability to work cooperatively with co-workers and provide good internal and external customer service.
  • Excellent interpersonal skills with ability to connect with, and relate to, all levels of management and clientele.
  • Ability to write, comprehend, disseminate reports and business correspondence.
