Development Coordinator
Position Details:
- Part time, hourly
- Reports to: Director of Development
- Hourly rate: $18/hour
- Minimum Hours: 25 hours per week
Position Overview:The Development Coordinator provides essential administrative support to the Development team at Birthplace of Country Music, Inc. (BCM), focusing on donor relations, event planning, and general development efforts. This position is responsible for maintaining accurate donor records, supporting fundraising campaigns, assisting with the management of events like the Bristol Sessions Super Raffle and the Rhythm & Roots Festival, and ensuring smooth communication between the Development team, donors, and the public.
Key Responsibilities:
- Development Support:
- Assist the Director of Development in all administrative functions related to BCM’s development efforts, including maintaining accurate records of donor activities in Salesforce.
- Monitor and mail donor-related materials in a timely manner, ensuring that donor communications such as thank-you letters, receipts, and newsletters are handled efficiently.
- Perform clerical functions to support the efficient operation of the Development Department, ensuring smooth workflow and communication.
- Become the in-house expert on Salesforce, ensuring all donor data is promptly and accurately entered, tracked, and updated in the system. Ensure that BCM’s donor database is updated regularly, maintaining the integrity of records and tracking donations, pledges, and communications.
- Event Management and Coordination:
- Support the planning, coordination, and execution of key fundraising events, such as the Rhythm & Roots Festival and the Bristol Sessions Super Raffle.
- Coordinate event logistics, including handling RSVPs, organizing volunteer efforts, tracking event expenses, and ensuring all event details are managed.
- Ensure all communication regarding events, including invitations, updates, and thank-you notes, is carried out on time and in alignment with BCM’s goals.
- Communication and Marketing:
- Assist in the creation of donor communications such as the 1927 Society newsletter, stewardship letters, and solicitations, ensuring the messaging aligns with BCM’s mission and values.
- Help maintain and update content on BCM’s website, museum donor wall, and social media platforms, ensuring fundraising and event-related content is current and engaging.
- Coordinate with the marketing team to create appealing content and communications materials that resonate with potential donors and supporters.
- Administrative Support:
- Provide general administrative support to the Director of Development and the Development team, including scheduling meetings, preparing materials, and taking minutes at team meetings.
- Manage donor records, prepare reports, coordinate fundraising activities, and track progress toward financial goals.
- Track action items and follow-up tasks from team meetings, ensuring all development-related responsibilities are on track and completed on time.
- Assist with donor stewardship activities, including preparing for and supporting donor recognition events.
- Perform any duties as may be assigned by the Director of Development or the Executive Director

Pay: $16.00 - $18.00 per hour
