Job Purpose: The Billing Clerk is responsible for processing and issuing accurate invoices for products and services, maintaining up-to-date billing records, and ensuring timely collection of accounts receivable. This role plays a crucial part in supporting the finance department and ensuring a smooth billing process, while providing exceptional service to both internal teams and external customers.

Key Responsibilities:

· Invoice Processing: Prepare and generate accurate invoices and billing documents based on customer orders, service agreements, and contract terms.

· Data Entry & Record Maintenance: Enter billing information into the system accurately and maintain organized, up-to-date billing records.

· Accounts Reconciliation: Reconcile billing discrepancies by comparing invoices, customer payments, and accounting records; resolve issues with internal teams or directly with customers as needed.

· Accounts Receivable Management: Monitor outstanding invoices and coordinate follow-ups to ensure timely payment; communicate with customers regarding billing inquiries and payment discrepancies.

· Reporting: Generate periodic billing reports for management review and assist with month-end and year-end closing procedures.

· Customer Service: Address customer billing inquiries promptly and professionally, ensuring a high level of satisfaction and resolving any issues efficiently.

· Collaboration: Work closely with sales, customer service, and finance departments to ensure billing accuracy and support overall financial operations.

· Compliance & Confidentiality: Adhere to company policies, maintain confidentiality of financial data, and comply with all relevant regulatory standards.

· Additional Duties: Perform other related tasks as assigned to support the finance and administrative teams.

Job Requirements:

· Education: High School Diploma or equivalent is required; additional coursework or a degree in Accounting, Finance, or Business is preferred.

· Experience: Proven experience as a billing clerk or in a similar accounting role is highly desirable (at least 1 year preferred).

· Technical Skills: Proficiency in Microsoft Office (especially Excel) and familiarity with billing software or ERP systems is required.

· Attention to Detail: Strong organizational skills and meticulous attention to detail to ensure billing accuracy.

· Communication Skills: Excellent written and verbal communication skills, with the ability to interact effectively with customers and team members.

· Problem-Solving: Ability to identify discrepancies, resolve billing issues, and manage multiple priorities in a fast-paced environment.

· Customer Service Orientation: A professional and courteous approach to addressing customer inquiries and resolving billing concerns.

· Must be authorized to work in the United States without sponsorship

· Must be able to pass a pre employment drug test and background check
