Job Summary:
The Director of Shared Services – AP & AR will be responsible for overseeing the Accounts Payable and Accounts Receivable functions, ensuring accuracy and efficiency in processing transactions, and leading a team to meet Bishop Lifting’s financial goals. The Director will also support strategic planning, identify and implement any process improvements, maintain policies and procedures and collaborate with various departments within the organization for seamless operations.
Key Responsibilities:
- Supervise and lead the AP and AR teams, providing guidance, support and development opportunities to ensure high daily performance. Areas include but not limited to, vendor set up, invoice processing (PO and non-PO)- 3-way matching, payment disbursements and remittances, customer set up (including ship tos), customer invoicing, credit management, collections, cash application and issuance of credit memos.
- Create and maintain strong relationships with both vendors and customers.
- Oversee the reconciliation of vendor and customer accounts, ensuring consistency and resolving discrepancies promptly to ensure customer satisfaction.
- Be the main point of contact for escalations related to vendor payments and customer billing.
- Evaluate and streamline payment terms, vendor and customer contracts, and ensure that all relevant financial data is recorded accurately.
- Review and approve payment runs and adherence to the payment run schedule.
- Develop and implement policies and procedures for standardization and to improve efficiency and accuracy.
- Ensure compliance with internal controls, policies, and relevant regulatory requirements.
- Stay current with industry trends and best practices to continuously improve operational performance.
- Prepare and present regular reports on AR and AP performance, including aging reports, DSO (Days Sales Outstanding), and DPO (Days Payable Outstanding) in addition to other key performance indicators (KPIs) and trends.
- Collaborate with the finance team to support month-end and year-end closing processes.
- Analyze financial data to identify areas for improvement and implement corrective actions.
- Support the external audit process by providing necessary documentation and addressing auditor queries.
Qualifications:
- Bachelor’s degree (accounting or business administration is preferred)
- Minimum of 7-10 years of experience in Accounts Payable and Accounts Receivable with a minimum of 3-5 years in a leadership role.
- Strong leadership and team management skills. Proven ability to manage and develop teams in a high-volume, fast-paced environment.
- Excellent analytical, organizational, communication and problem-solving abilities.
- Ability to work effectively across cross-functional teams and with senior management.
- Strong knowledge of accounting principles, financial reporting, and ERP systems.
- Experience in managing process improvements and implementing automation tools in financial operations.
Preferred Qualifications:
- Exposure to Machinery, Industrial Supplies and Parts, Other Commercial Services Industry.
- Experience with Microsoft Dynamics, Business Central and process automation tools for AP/AR software.
- Ability to influence decision-making and contribute to strategic financial planning.
