The Project Administrator role facilitates the efficient coordination of a variety of assigned clerical and administrative tasks working with ownership and office staff. This position also works through the estimating and preconstruction process, assisting with coordinating thebidding process from start to finish. Responsibilities also include all related administrative tasks related to awarded projects.
Duties/Responsibilities:
- Answers and transfers phone calls, screening when necessary.
- Maintain filing systems as assigned.
- Retrieve information as requested from records, email, minutes, and other related documents; prepares written summaries of data when needed.
- Respond to and resolve administrative/estimating inquiries and questions.
- Coordinate and schedule travel, meetings, and appointments for executive staff.
- Prepare and maintain agendas and schedules for meetings.
- Processing of submittals, submittal tracking, subcontracts and purchase orders.
- Assist with the bidding process which includes plan printing, requests for insurance, maintenance of correspondence and communication with related agencies.
- Sub-bidder Process; solicit material and subcontractor pricing.
- Preparation of monthly AIA requisitions.
- Prepare and track project change orders.
- Review and approve subcontractor requisitions.
- Prepare project close-out documentation including but not limited to O&M manuals and warranties.
- DCAMM certification renewals.
- MassDOT Prequalification’s.
- Performs other related duties as assigned.
Required Skills/Abilities:
- Excellent verbal and written communication skills.
- Excellent interpersonal and customer service skills.
- Proficient in Microsoft Office Suite or related software.
- Excellent organizational skills and attention to detail.
- Ability to follow-up on all tasks and project related documentation.
- Basic understanding of clerical procedures and systems such as recordkeeping and filing.
- Ability to multi task and work independently in a fast-paced office environment.
Education and Experience:
- Five plus years of experience in a construction project administrative role.
- Administrative knowledge of the construction industry, estimating and pre construction activities.
Physical Requirements:
- Prolonged periods sitting at a desk and working on a computer.
- Must be able to lift up to 15 pounds at times.
Job Type: Full-time
Pay: $65,000.00 - $80,000.00 per year
