Job Purpose:
The Executive Support Lead is responsible for providing administrative support to ensure the efficient operation of the office. They will handle a variety of tasks, including managing communication, scheduling, and maintaining records.
Key Responsibilities:
- Office Management:
- Manage day-to-day office operations and ensure smooth functioning.
- Maintain office supplies and inventory.
- Assist with office organization, cleanliness, and space management.
- Communication:
- Answer phone calls, emails, and other forms of communication.
- Coordinate and schedule meetings, appointments, and events.
- Handle incoming and outgoing correspondence.
- Documentation & Record Keeping:
- Prepare, edit, and file documents, reports, and presentations.
- Maintain both digital and physical filing systems.
- Customer Service:
- Greet and assist visitors or clients in a friendly and professional manner.
- Address inquiries and provide support to staff, clients, or other stakeholders.
- Support to Senior Staff:
- Provide administrative assistance to senior management and other departments.
- Assist in organizing travel arrangements, meetings, and events.
- Compliance and Confidentiality:
- Ensure that the office adheres to company policies and procedures.
- Handle sensitive and confidential information with discretion.
Qualifications:
- High school diploma or equivalent (Bachelor’s degree preferred).
- Proven experience as an administrative assistant or in other relevant administrative roles.
- Proficient in MS Office Suite (Word, Excel, PowerPoint, Outlook).
- Excellent written and verbal communication skills.
- Strong organizational and multitasking abilities.
- Attention to detail and ability to work independently.
