Full job description
Established Sacramento law firm specializing in Trust and Estate law is looking to grow its team by adding an experienced Legal Assistant/Receptionist with at least three years of experience working in the legal industry. The firm provides a high level of representation in trust and estate matters, covering the full spectrum of estate law from basic estate planning through complex administration and litigation.
At this time, we are looking to hire a full-time Legal Assistant/Receptionist for our Sacramento office. The ideal candidate will be able to work well in a team environment, excel under pressure, and have the confidence and ability to assist with daily duties include clerical, secretarial and administrative work.
Essential Functions
The Legal Assistant/Receptionist is responsible for providing administrative support to our litigation team, including but not limited to, the following areas:
- Welcoming, greeting and assisting prospective clients, current clients, former clients and visitors that contact our office. via phone, email and in-person visits
- Screening and directing phone calls promptly to the appropriate staff member
- Screening intake calls and scheduling initial consultations and follow up appointments
- Greeting clients and notifying staff members
- Processing day to day administrative items: incoming and outgoing mail, packages, checks, etc.
- Responding to written and electronic correspondence
- Ensuring Lobby, office and break area are safe, clean and organized
- Coordinating meetings, booking conference rooms and managing calendars
- Preparing some court filings and coordinate filing services
- e-filing documents
- Calendaring hearings and deadlines
- Scanning, organizing and indexing electronic and paper files
- Participating in office/team meetings as necessary
- Delivering excellent customer service
- Assisting paralegals and attorneys with various projects, as requested
Minimum Qualifications
- Must be self-motivated and have strong organizational and time management skills
- Must be able to multi-task under time constraints
- Must be detail-oriented with a desire to learn and grow
- Must be comfortable working effectively as a team player in a professional office environment
- Must possess excellent listening, verbal, and written communication skills
- Must be eager to learn and contribute to the overall success of the team
- Must have at least two years of previous experience working in the legal industry
- Must be willing to work overtime as required, sometimes on short notice
- Must have multiple strong references
- Proficient in using a computer and the programs such as Microsoft Office (Outlook, Word, Excel, etc.)
Prior Experience:
- Administrative Assistant: At least 3 years (Legal Industry)
Education:
- High School Diploma (required)
- Bachelor’s Degree (preferred)
Job Type: Full-time
Pay: $25.00 - $30.00 per hour
Expected hours: 40 per week
Schedule:
- 8 hour shift
- Monday to Friday
Work Location: In person
Salary : $25 - $30
