Job Summary:
As the Site Management Operations Manager, you will work closely with the Director of Site Management to oversee site management accounts. Your role will focus on developing and training site managers, ensuring compliance with operational standards, and maintaining consistent service quality across all sites. You will foster strong communication between teams, implement best practices, and support the success of site management initiatives. This position plays a key role in building a collaborative environment and driving performance excellence within the team.
Key Responsibilities:
- Provide on-site support as needed to ensure smooth operations.
- Conduct quarterly inspections with Site Managers to ensure property inspections are regularly completed.
- Supervise and support Site Managers, ensuring they understand their roles, and provide training and guidance where necessary.
- Act as a backup contact for Site Managers, addressing after-hour emergencies (e.g., fire, water, elevator entrapment, etc.).
- Attend Board Meetings at key sites, reviewing and discussing monthly reports from Site Managers.
- Assist in recruiting, hiring, and onboarding new Site Managers, ensuring positions are filled and coverage is maintained for vacation requests.
- Review and approve Site Manager timesheets, ensuring accuracy and entering payroll hours into the Attendance Record Spreadsheet.
- Collaborate with Site Managers to create and track quarterly and yearly goals, aligning them with the company’s objectives.
- Submit weekly reports to the Director of Site Management, providing updates on issues, positive feedback, and project progress.
- Support the transition of new Site Management properties, assisting new Site Managers in learning the properties and ensuring they meet client expectations. Step in as a Site Manager when immediate coverage is needed.
- Administer disciplinary actions as needed, using effective personnel management techniques.
- Assist the Director of Site Management with interviewing, onboarding, and providing support during the onboarding process for new employees.
- Help manage PTO and on-call coverage availability for Site Managers.
Training and Development for Site Managers:
- Prepare and submit reports required by the Board of Directors.
- Develop and maintain an Operations Manual for the property, ensuring it is updated as needed.
Additional Responsibilities:
- Assist in planning, coordinating, and arranging training sessions for the Site Management team, including reaching out to vendors for technical training.
- Schedule and conduct quarterly performance evaluations and conversations with Site Managers.
- Draft and distribute email correspondence, memos, letters, and forms as required.
- Contribute to the preparation of regularly scheduled reports.
- Support Site Managers with the timely submission of weekly/monthly reports.
- Maintain a digital filing system using SharePoint and OneDrive.
- Ensure that company policies and procedures are regularly updated and maintained

Pay: $60,000.00 - $70,000.00 per year
