Job Title: Admissions and Marketing Coordinator
Program: School-Wide
Reports to: Head of School
Employment Status: Part-Time (0.5); Non-Exempt
Report to Work Dates: Year-Round; Employee shall be expected to report to work on all of the days during which the School is in operation
Position Summary The Admissions and Marketing Coordinator is responsible for ensuring that Bixby’s program is sustained through mission-aligned enrollment by attracting families for whom our mission strongly resonates, and shepherding prospective families through the admissions process with warmth and transparency. Working closely with the school leadership team, the Coordinator ensures that prospective families have a positive, and personalized experience from the time they first express interest in Bixby School through their ultimate enrollment.
Essential Duties and Responsibilities
- Goal-Setting:
- In collaboration with the school leadership team, set goals and priorities for marketing and enrollment
- Inform the annual development of marketing and admissions budgets, and manage spending on a day-to-day basis
- School-Year and Summer Admissions: The Coordinator is responsible for developing and implementing mission-aligned, efficient admissions and enrollment processes, including:
- Recommend forward-thinking, strategic application, admission, and enrollment policies.
- As requested by the head of school, serve as a resource to the board of trustees regarding admissions and enrollment data and trends.

Effective implementation of essential elements to ensure a competitive admissions process and the long-term health of the student body and broader alumni/ae base:
- Communicate clearly, positively and proactively with all prospective families and students

Enrollment management (the tracking of prospective students from inquiry to applicant to enrollment and beyond), including
- Managing the efficient and prompt scheduling of admissions tours
- Facilitating admissions committee meetings and decisions
- Gathering all relevant information for an admissions decision, including letters of recommendation, outside provider reports, teacher feedback and student support recommendations
- Collaborating with faculty to plan and implement effective shadow days
- Research (analyzing data that affect current and future enrollment)
- Ensure a high-touch, welcoming experience for prospective families from inquiry to enrollment
- Work closely with the Director of Finance and Operations to support enrollment functions
- Maintain a high level of knowledge about the culture and climate of the school and the broader educational environment.
- Foster high ethical standards, integrity, and respect for colleagues, alumni/ae, parents, and students throughout the admissions process.
- Be sensitive to economic, cultural, and other issues present in the enrollment of a diverse student body.
- Network with admissions staff at other independent schools
- Marketing: The Coordinator is responsible for developing and implementing strategies to raise awareness and interest in Bixby School by prospective families and students who will benefit from the school’s unique culture and programmatic offerings and contribute to the school community, including:
- Develop a strategic recruitment and communication plan to increase awareness, understanding and affinity among target audiences of Bixby School, including identifying and implementing best-practice web-based technologies
- Support the Head of School in articulating Bixby’s value proposition and communicating the school’s vision and mission
- Design, execute and monitor annual marketing and campaign plans designed to raise awareness and attract prospective families
- Design and execute admissions and retention events (e.g. Open House, Step-Up events, etc.)
- Design and create print & digital ads for admissions events (e.g. Open House, Summer Camp, etc.) and promotional campaigns
- Create videos, slideshows, and graphics for Bixby School campaigns
- Develop and maintain a fresh, mission-aligned online presence on Bixby’s social media platforms (i.e. Facebook & Instagram)
- Maintain the content and functionality of Bixby School website (www.bixbyschool.org)
- Develop and implement a crisis management communication plan
- Supervise professional consultants engaged to support the school’s marketing goals
- School Community Membership:
- Promote the school’s mission, making it the center of all decisions and actions.
- Support an atmosphere of trust and openness among teachers, students, and parents.
- Support activities related to fundraising and community building such as Annual Auction, and other community events according to the employee handbook
- Renew yourself and deepen your understanding of the Bixby School curriculum, behaviors and mindsets, child development, diversity and enrollment retention through continued education and professional development
- Prepare for and participate in school-wide events such as assemblies, Meet and Greet, Back to School Night, performances, work days, faculty in-service days, and retreats, as appropriate
- Recommends to the Head of School program design elements and enhancements that advance Bixby’s vision
- Nurture a healthy, collaborative culture by modeling brave, clear and kind communications
- Collaborate on decision-making responsibilities
- Model Bixby’s Values, Vision Mission and Core Beliefs
- Assume responsibility for other projects as assigned by the head of school.
Qualification Requirements:
- Bachelor’s degree or equivalent experience in education, communications, marketing or related field
- Exceptional written and oral communication skills
- Outstanding organizational and presentation skills
- Posses and articulate a creative vision and direction
- Demonstrated experience with creative content design and production, including photography, videography, website content management and design, and social media
