Description

Position Summary

The Specialist/Coordinator for Healthy Food Access is pivotal in implementing and managing Build Back Healthy Food Access at Akoma Market initiatives. This position will lead the development and execution of strategies to revitalize the Akoma Market as a vibrant hub for healthy food access, community engagement, and economic development within the Black Cultural Zone. This role will focus on returning the certified farmers market to Akoma Market, connecting existing community gardens and healthy food partners, and expanding healthy food access programs throughout the Black Cultural Zone, including "food as medicine" initiatives. Key responsibilities will include developing and executing strategies to revitalize the Akoma Market as a vibrant hub for healthy food access, community engagement, and economic development within the Black Cultural Zone.

Role and Responsibilities: For Assigned Initiatives, Programs and Plans

The Specialist/Coordinator is responsible for the successful planning and execution of the initiatives they support.  They collaborate with team members to define initiative goals, objectives, and outcomes and then lead the implementation process, ensuring timely delivery within budget. The Specialist/Coordinator is responsible for effective resource management, including personnel, budget, and equipment. The Specialist/Coordinator actively engages with stakeholders, building and maintaining strong relationships with participants, funders, and other key parties.

The Specialist/Coordinator continuously monitors and evaluates their initiative and tracks progress, identifies areas for improvement, and assesses program effectiveness. They prioritize quality assurance, ensuring that programs meet high standards and participants receive excellent service. Through regular reporting and proactive risk management.  The Specialist/Coordinator ensures the successful and impactful delivery of programs while continuously seeking opportunities for improvement.

Dashboard Management and Key Performance Items

  • Creates and files key performance items in the designated folders.
  • Completes Key Performance Indicator tracking as specified by the role.
  • Submits relevant data and ensures supporting documentation is uploaded to the dashboard.
  • Submits quantitative and qualitative information necessary to complete reports and document KPIs.
  • Reviews and provides a summary, data on KPIs and deliverables, and other initiative/program statistics as needed.

 

Initiative Briefs

  • Takes the lead in creating and updating initiative briefs.
  • Publishes and Orients stakeholders to the initiative brief contents and deliverables in collaboration with coordinators.

 

Implementation Briefs (Roadmap) and Plans 

  • Takes the lead in creating and updating the implementation plan as necessary.
  • Reviews, evaluates, approves, and recommends improvements for the implementation roadmap.
  • Provides Input (Prioritizes KPIs), Reviews, Evaluates, Approves, and Recommends Improvements.
  • Actively participates in keeping the brief up to date.

Folder Management and Deliverables Trackers (in Google Sheets and SmartSheets)

  • Submits relevant data and uploads supporting documentation to the designated folders.
  • Submits deliverables to the tracker and provides updates on their status with comments and links as required.

 

Calendaring

  • Collaborates on calendaring by providing agendas, materials, participant emails, and relevant documents.
  • Submits new deliverables for the tracker and takes responsibility for all follow-ups.

Meeting Management, Participation, and Documentation

  • Plans and prepares agenda, creates presentations, facilitates meetings, and delivers content related to role and documents meeting notes via recording and/or transcription 
  • Takes a leadership role in attending both external and internal meetings related to supported initiatives/programs.
  • Participates actively in external meetings, providing on-screen presence, taking notes, and fulfilling role requirements.

Reporting

  • Submits and uploads agreed-upon proof of performance, outcomes, and evaluations.
  • Tracks activity on the calendar and documents all interactions with notes, reports, sign-in sheets, or other required evidence.

 

One Pagers and FAQs

  • Submits quantitative and qualitative information necessary to complete reports and document KPIs.
  • Reviews and provides a summary, data on KPIs and deliverables, and other initiative/program statistics as needed.

 

Policies, Processes, and Procedures

  • Takes the lead in providing Policies, Processes, and Procedures (PPP) for the Specialist role.
  • Reviews and provides information on other related PPPs as necessary

Improvement Plans

  • Depends Upon Improvement Plan; but Will Complete Tasks as Required by Role

Qualifications


Required Knowledge, Skills, and Abilities

  • Skilled in meeting and group facilitation and guiding groups or individuals through a process or discussion.
  • Ability to provide expert advice or guidance on specific areas of expertise.
  • Demonstrated ability to conceptualize and develop aspects of projects, programs, or initiatives.
  • Strong analytical skills to assess and interpret data.
  • Skilled at conducting research on topics relevant to specific areas of expertise.
  • Ability to provide coaching and mentorship as needed.Ability to use project management tools with strong attention to detail to ensure accuracy in data gathering, documentation, and reporting.
  • Strong organizational and ability to efficiently manage time to meet deadlines and handle multiple tasks simultaneously. 
  • Good communication and interpersonal skills sufficient to build and maintain positive community and organizational relationships.
  • Works well in a team environment, fostering collaboration and open communication.
  • Demonstrates flexibility in adapting to changing priorities and evolving program requirements.
  • Proficient in using various software applications, databases, and project management tools.
  • Experience in coordinating and overseeing projects from initiation to completion.
  • Strong written and verbal communication skills for effective interaction with stakeholders.
  • Self-motivated and proactive, taking the lead in executing tasks and resolving challenges.
  • Ability to understand the broader organizational goals and align program activities accordingly.
  • Technologically savvy, with strong word and data processing, spreadsheet, email, and project management software familiarity and basic skills

Qualifications:

  • Bachelor's degree in a relevant field (e.g., Public Health, Community Development, Sociology, or related field)
  • 3-5 years of experience in relevant fields (e.g., community development, program management)
  • Proven experience in designing, implementing, and evaluating community-based programs
  • Strong project management skills, including budget and timeline management
  • Excellent written and verbal communication and presentation skills
  • Ability to build and maintain strong relationships with diverse stakeholders
  • Strong analytical and problem-solving skills with data analysis experience
  • Proficiency in Microsoft Office Suite and project management software
  • Experience in community outreach and engagement strategies
  • Ability to collect, analyze, and report on program data and outcomes
  • Although remits, the ideal candidate must reside in the Northern California region and be able to attend at least four in-person meetings per month.
  • Exposure to diverse stakeholder engagement and management.

Physical Demands:
Essential functions of the position require the employee to use a telephone, work at a standard
computer terminal and be able to follow reasonable ergonomic recommendations, sit for long
periods of time, repetitive motions, stand, reach, lift and carry 20 pounds, and bend.
