Job Summary
We are seeking a reliable and detail-oriented Project Administrator/Executive Assistant to provide administrative and operational support to our construction projects and leadership team. This role is a blend of project coordination and executive assistance, requiring excellent organizational skills, a proactive mindset, and the ability to thrive in a fast-paced environment. The ideal candidate is a problem-solver who can manage multiple priorities and communicate effectively with team members, clients, and subcontractors.
Key Responsibilities
Project Administration:
- Assist with project documentation, including contracts, permits, change orders, and submittals.
- Coordinate with subcontractors, vendors, and clients to gather necessary paperwork and ensure timely submissions.
- Prepare and distribute meeting agendas, minutes, and follow-up action items for project-related discussions.
- Manage project files (digital and physical) to ensure easy access and compliance with company standards.
Executive Assistance:
- Provide direct support to the owner and/or project managers, including calendar management, scheduling appointments, and arranging travel when needed.
- Handle incoming calls, emails, and correspondence, responding or redirecting as appropriate.
- Prepare reports, presentations, and correspondence for internal and external use.
- Assist with basic bookkeeping tasks, such as processing invoices, tracking expenses, and coordinating with the accounting team.
- Perform general office duties, including ordering supplies, maintaining equipment, and keeping the workplace organized.
Qualifications
- Experience: 2 years of administrative experience, preferably in construction, real estate, or a related industry.
Salary : $60,000 - $70,000
