Full Job Description

Black Horse Produce is in need of a reliable and responsible Bookkeeper/Administrative Assistant to perform a variety of administrative and clerical tasks in our busy, hectic office. Duties include assisting in daily office needs, daily cash reconciliation, mail pickup, bank deposits, and managing our company’s general administrative activities. Responsibilities include managing Quickbooks, managing job entries, payments, Accounts Receivables, Weekly Payroll, Sales tax, Invoicing, preparing reports, and maintaining appropriate filing systems. The ideal candidate should have excellent oral and written communication skills and be able to organize their work using tools, like MS Excel and office equipment. Must have Bookkeeping experience and be familiar with using Quickbooks software. Ultimately, a successful candidate should ensure the efficient and smooth day-to-day operation of our office.

Responsibilities

  • Answer and direct phone calls
  • Reconcile cash receipts
  • Enter data into spreadsheets and generate spreadsheets as required
  • Enter payables into Quickbooks
  • Preparation of regularly scheduled reports
  • Maintain our filing system
  • Update and maintain office policies and procedures
  • Weekly payroll and tax filings
  • Quarterly sales tax filings
  • Order office supplies and research new deals and suppliers
  • Maintain contact lists
  • Reconcile bank accounts
  • Verify Quickbooks activities and handle daily entries and accounting.
  • Communicate with customers for AR and collections

Skills

  • Proven experience as an administrative assistant or office admin assistant
  • Knowledge of office management systems and procedures
  • Working knowledge of office equipment, like printers and fax machines
  • Proficiency in MS Office (MS Excel in particular)
  • Proficiency in Quickbooks
  • Excellent time management skills and the ability to prioritize work
  • Attention to detail and problem-solving skills
  • Excellent written and verbal communication skills
  • Strong organizational skills with the ability to multi-task
  • Ability to work well with others
  • Website management is a plus!

Job Type: Part-time

Pay: $18.00 - $20.00 per hour
