What are the responsibilities and job description for the Floral Administrator position at Blackberry?
The Floral Administrator will manage all administrative responsibilities of the floral operation.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
- Use email, Opera and Resort Suite programs to create work orders for floral requests of guests, groups, events, holidays, and private owner floral needs.
- Tracking labor spending while supporting floral manager with scheduling.
- Communicate agendas and daily needs to the team using Excel, Outlook calendars and daily meetings.
- Responsible for tracking and recording revenue and expenses for the department.
- Responsible for maintaining payroll, and making sure that Paycom is kept current by assisting the team with missed punches and vacation requests.
- Maintain an open line of communication with the floral manager to make sure that all tasks and requests are handled on time and are accurate.
- Create and maintain plans and work flow for seasonal events to include July 4, Fall dcor, Holiday dcor and NYE.
- Responsible for ordering supplies, coding, inputting purchase orders for approval, and communicating any needs for the department with the floral manager.
- Create and maintain photo library of floral sets and work throughout the year.
- Assist the team when needed for setups, installs, and deliveries.
- Work directly with and assist the floral manager with daily needs and projects as directed.
- Maintain open lines of communication with other departments, private owners, and guests.
Must comply with all company policies and procedures.
Regular and consistent attendance is required to fulfill the essential functions of this position.
Must be able to work well with other Team Members, Managers, and interact with our guests.
EDUCATION and EXPERIENCE
- 3 to 5 years of experience in administration
- General knowledge of flowers and plants
LANGUAGE SKILLS
- Must have excellent verbal and written communication skills
- Must be able to communicate with guests, team members, and home owners effectively.
COMPUTER SKILLS
- Must be proficient in Microsoft Word, Excel, and PowerPoint. Experience in Opera, Resort Suite, or is a plus.
MATHEMATICAL SKILLS
- Must have basic mathematical skills
REASONING ABILITY
- Must be able to exercise judgment and make decisions based on job knowledge and awareness of company goals
PHYSICAL DEMANDS
- Must be able to lift packages to 40 pounds
- Must be able to sit 80% of the time while using a computer
- Must be able to operate a company vehicle or golf cart safely
