Executive Assistant
Overview: Blackhawk is seeking an energetic, enthusiastic, and well-organized individual who would like to work in a multi-disciplinary environment as an Executive Assistant.
This individual will assist the CEO by providing administrative support, scheduling assistance, and company culture, as well as ensuring day-to-day functions around the office run smoothly. The ideal candidate is a true “right-hand” to the CEO, anticipating needs and ensuring smooth and efficient daily operations with the opportunity to grow into a true Chief of Staff position.
About the role:
We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to provide comprehensive support to our CEO. This is a hands-on, side-by-side role offering a unique opportunity to gain exposure to all facets of a thriving digital marketing business. You will be an integral part of the team, directly contributing to the company's success by ensuring the CEO's schedule and workflow are managed efficiently and effectively. This role requires exceptional communication skills, a strong work ethic, and the ability to thrive in a fast-paced environment.
Responsibilities:
- CEO Support: Manage the CEO's complex and ever-changing calendar, schedule appointments (both professional and personal), expertly manage and respond to emails on the CEO's behalf, and proactively follow through on all CEO-related tasks, ensuring deadlines are met.
- Sales Support: Attend all sales meetings, meticulously take notes, create and distribute meeting recaps to clients, assist in the creation and distribution of Statements of Work (SOWs), and manage client agreements.
- Office Management: Oversee general office organization, including managing supplies, coordinating maintenance, and ensuring a smooth and efficient office environment.
- Executive Communications: Serve as the primary point of contact for the CEO, screening calls, managing correspondence, and communicating effectively with internal and external stakeholders.
- Project Management: Assist with special projects as needed, including research, data entry, and preparing presentations.
- Confidentiality: Maintain strict confidentiality regarding sensitive company and personal information.
Qualifications:
- Proven experience as an Executive Assistant, preferably in a fast-paced, dynamic environment. Experience in a marketing or related field is a plus.
- Exceptional written and verbal communication skills. You must be a skilled writer and communicator, capable of crafting professional emails and correspondence.
- Impeccable attention to detail and organizational skills. You must be highly organized and able to manage multiple tasks simultaneously.
- Proficiency in Google Suite (Drive, Docs, Sheets, Slides) and other relevant software.
- Proficiency in Asana and other relevant project management software.
- Ability to anticipate needs and proactively solve problems.
- Strong work ethic, a positive attitude, and a willingness to go the extra mile.
- Ability to work independently and as part of a team.
- Discretion and confidentiality are essential.
