Position Overview

The Part-Time Administrative Assistant plays a key support role within the office, assisting with day-to-day administrative tasks to ensure the smooth operation of the office environment. This position is responsible for managing office logistics, assisting with onsite IT management, supporting company events, and providing a welcoming experience for visitors. The ideal candidate will be highly organized, detail-oriented, and able to manage multiple tasks efficiently.

Qualification Requirements

  • High school diploma or equivalent; college coursework preferred.
  • Minimum of 1-2 years of experience in an administrative support role or related field.
  • Strong organizational skills and the ability to handle multiple tasks simultaneously.
  • Excellent verbal and written communication skills.
  • Proficient with office software, including Microsoft Office Suite.
  • Ability to maintain a professional and positive demeanor at all times.
  • Comfortable interacting with visitors, vendors, and employees at all levels.

Essential Job Duties

General Administrative Support

  • Answer incoming calls, direct to the appropriate department or individual, and take messages when necessary.
  • Collect, distribute, and organize incoming mail.
  • Maintain the cleanliness and organization of the breakroom.
  • Assist with maintaining office supplies inventory and order replenishments as needed.
  • Assist with ordering kitchen supplies and ensure adequate stock levels.
  • Support the organization and coordination of company events as needed.

Office Management

  • Manage the scheduling and coordination of conference rooms, ensuring rooms are prepared for meetings.
  • Guide guests upon their arrival and provide assistance as needed.
  • Oversee coffee machine management, including ensuring it is stocked and in working order.

Onsite IT Assistance

  • Provide basic support when the IT team is onsite, including directing the IT team member to the appropriate locations and maintaining a list of employees to be supported, based on the forms completed by each staff member.

Departmental Support

  • Assist with department lunch orders, ensuring accurate and timely deliveries.
  • Perform other administrative duties as assigned by management.

Physical & Other Requirements

  • Ability to work in an office environment, including prolonged periods of sitting, standing, and computer usage.
  • Ability to lift-up to fifty pounds.
