About the Role:
We are seeking a highly organized, proactive, and detail-oriented Administrative Assistant to provide comprehensive administrative and personal support. This is a demanding yet rewarding role that requires exceptional communication skills, discretion, and the ability to juggle multiple priorities in a fast-paced environment. The ideal candidate will be a true "right-hand" person, anticipating needs and ensuring the smooth and efficient operations. Experience in the construction or real estate industry is highly valued.
Responsibilities (include, but are not limited to):
Business Support:
- Calendar Management: Proactively manage and coordinate complex calendars, including scheduling meetings with clients, architects, subcontractors, and other stakeholders, as well as personal appointments and travel arrangements.
- Communication: Act as the primary point of contact for the primary, screening calls, managing emails, and drafting correspondence. Maintain professional and courteous communication with clients, colleagues, and vendors.
- Travel Arrangements: Coordinate all aspects of domestic and international travel, including booking flights, accommodations, transportation, and preparing detailed itineraries.
- Project Management Support: Assist with project-related tasks such as tracking deadlines, organizing documents, preparing reports, and following up on action items.
- Contract Management: Assist in organizing and tracking contracts, ensuring timely renewals and follow-ups.
- Meeting Preparation: Prepare agendas, gather materials, and take minutes for meetings.
- Record Keeping: Maintain organized and accurate physical and electronic files, including project documentation, contracts, and other important records.
- Expense Management: Process and track business and personal expenses, prepare expense reports, and reconcile credit card statements.
- Real Estate Support: Assist with property management tasks related to Blackstone Homes’ projects, such as coordinating site visits, communicating with subcontractors, and preparing marketing materials.
- Construction Support: Assist with project coordination, tracking budgets, and communicating with subcontractors and suppliers.
Personal Support:
- Personal Errands: Run personal errands such as grocery shopping, dry cleaning, and other personal tasks.
- Event Planning: Assist with planning and organizing personal events and gatherings.
- Personal Travel Arrangements: Coordinate personal travel, including booking flights, accommodations, and activities.
- Gift Purchasing: Purchase gifts for family, friends, and colleagues.
- Mail and Package Management: Sort and manage personal mail and packages.
- Other Personal Tasks: Handle other personal tasks as needed, ensuring discretion and confidentiality.
Qualifications:
- Experience as a Personal Assistant (Preffered not required)
- Experience in the construction or real estate industry is valued NOT required.
- Exceptional organizational and time-management skills with the ability to prioritize and multitask effectively.
- Excellent communication skills, both written and verbal.
- Strong attention to detail and accuracy.
- Proficiency in Google Sheets, Google Docs, Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) etc.
- Ability to maintain confidentiality and exercise discretion.
- Proactive and resourceful with a strong work ethic.
- Ability to work independently and as part of a team.
- Valid driver's license and reliable transportation.
