The Administrative Assistant role entails providing support to the BXMA - Business Financial Evaluation (BFE) team. The BFE team conducts operational due diligence of third-party investment managers in which BXMA invests. The responsibilities of the Administrative Assistant include :
- Managing calendars including scheduling internal and external appointments, confirming meetings, and coordinating with other assistants
- Managing and booking global travel arrangements, including flights, visas / passports, cars, hotels, and other reservations
- Requesting and scheduling meetings with external organizations, including coordinating preferred meeting date(s) with the BFE team, sending the meeting request, agenda and document requests to external organizations, scheduling and sending calendar invites for confirmed meetings, and tracking receipt of requested materials in advance of the meeting
- Answering calls and acting as a gatekeeper
- Booking conference rooms for internal and external meetings; meeting and greeting guests, registering guests in the visitor system
- Completing detailed corporate expense reports, including tracking receipts, expense purpose, and reimbursements
- Maintaining and organizing files
- Contact management, including entering related information in proprietary systems
- Maintaining office equipment and inventory supplies
- Ad hoc projects

Expected annual base salary range :
70,000 - $130,000
Actual base salary within that range will be determined by several components including but not limited to the individual's experience, skills, qualifications and job location. For roles located outside of the US, please disregard the posted salary bands as these roles will follow a separate compensation process based on local market comparables.
Additional compensation : Base salary does not include other forms of compensation or benefits offered in connection with the advertised role.
