Position Overview
End Community Violence Now (ECVN) is seeking an Operations Associate to support our day-to-day operations and ensure that our internal processes run smoothly. Key Responsibilities
Administrative and Logistical Support for the Executive Director
- Manage the Executive Director’s calendar, scheduling meetings, calls, and appointments.
- Prepare materials for the Executive Director’s meetings, presentations, and public engagements.
- Provide logistical support for virtual and in-person meetings, including setting up technology, distributing materials, and taking notes when necessary.
- Organize and maintain files for the Executive Director, ensuring documents are properly filed and accessible.
Administrative and Logistical Support for Program Officer
- Assist the Program Officer with logistical support for program-related meetings, events, workshops, and capacity-building activities.
- Help coordinate materials and reports for program-related activities and ensure that necessary documentation is organized and accessible.
- Support the Program Officer in tracking program progress, maintaining records of deadlines, deliverables, and milestones for community violence prevention programs.
- Help manage program-related communications and assist with organizing and distributing reports.
Expense and Financial Support
- Manage day-to-day financial operations related to program expenses, including processing invoices and tracking program-related spending.
- Assist with budget preparation and monitoring, ensuring expenditures align with program and organizational budgets.
- Support the reconciliation of financial reports, maintaining accurate records of all program and operational expenses.
- Liaise with the finance team to ensure timely payments, approvals, and compliance with organizational financial policies.
General Operations Support
- Oversee the organization and management of office supplies and inventory, ensuring that materials are stocked and ordered when necessary.
- Serve as an internal point of contact for team coordination, helping ensure smooth communication between the Executive Director, Program Officer, and other staff members.
- Assist in organizing and coordinating special events, conferences, and workshops related to ECVN’s mission, ensuring smooth operational flow.

Education and Experience Requirements
- High School Diploma or equivalent required, Associates or Bachelor's degree in Accounting, Business Administration, Public Administration or a related field is strongly preferred.
- At least 1-3 years of experience in administrative, operational, or program support, preferably in a nonprofit or community-based organization.
Knowledge, Skills and Abilities
- Strong organizational and time-management skills with the ability to prioritize tasks and manage multiple deadlines.
- Exceptional attention to detail, especially with regard to financial tracking, invoices, and budget management.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), and familiarity with financial management software or databases (e.g., QuickBooks, Excel for financial tracking).
- Strong written and verbal communication skills, with the ability to draft professional reports, emails, and documents.
- Ability to handle confidential information with discretion and professionalism.
- Flexibility to work independently and as part of a team in a fast-paced environment.
- Familiarity with community violence prevention strategies or social justice issues.
- Experience with grant management or financial reporting is preferred.
- Experience in event coordination or logistics management is a plus.
- Fluency in Spanish or other languages spoken in Delaware’s communities is a plus.
