Job Overview
We are seeking a highly organized and detail-oriented Administrative Assistant to join our team. The ideal candidate will provide essential support to our office operations, ensuring smooth communication and efficient workflow. This role is pivotal in maintaining an organized environment and assisting with various administrative tasks that contribute to the overall success of the organization.
Responsibilities
- Processing work orders, supplier invoices, purchase orders, expenses claims, account payments, and payroll.
- Assisting the financial management team with credit control processes, budget planning, and expense analysis.
- Maintaining a digital record of all financial transactions, documents, and supplier information.
- Coordinating daily financial tasks with the financial management team to optimize workflow.
- Maintaining an organized and comfortable office environment, ordering office supplies, and updating inventory.
- Managing changes of staff members' financial information if needed.
- Compiling financial data to prepare monthly revenue reports and ensuring that client accounts are accurate and up to date.
Skills
- Knowledge of clerical procedures and systems such as word processing, managing files and records, and other office procedures.
- Work independently and completing assignments with minimal direction.
- Skill in the use of Microsoft Office products (Word, Excel, PowerPoint and Outlook).
- Ability to establish and maintain effective and cooperative working relationships with those contacted in the course of work.
- Working knowledge of accounting software, such as QuickBooks.
- Meticulous attention to detail and ability to perform tasks with accuracy and efficiency in mind.
- Excellent analytical skills and financial prowess.
- Good organizational and time management skills.
- Strong team player with solid communication skills.
- High levels of integrity and ability to handle confidential information.
- Good interpersonal skills (tact, diplomacy, discretion) are essential for this position.
- Five or more years of administrative experience; or an equivalent combination of education, certification, training, and/or experience. Must possess a valid Pennsylvania driver’s license.
