Position Overview: The Executive Assistant to the President and CEO provides high-level executive support in a one-on-one working relationship with BlaqOut’s CEO and serves as a liaison with the Board of Directors. This role is critical in managing both professional and personal dimensions to optimize the CEO's effectiveness and personal well-being. Responsibilities include orchestrating strategic meetings, organizing comprehensive travel itineraries, handling sensitive correspondence, scheduling personal and family commitments, and facilitating certain financial operations. The position demands creativity and the ability to thrive in an environment that is mission-driven, community-oriented, entrepreneurial, high- performing, and fast-paced. The ideal candidate will exercise good judgment in a variety of situations and possess strong written and verbal communication, administrative, and organizational skills, with the capacity to maintain a realistic balance among multiple priorities. Working under pressure at times, the Executive Assistant must handle a wide array of activities and competing priorities with discretion. This position also supports the Chief of Staff in coordinating the CEO’s involvement in BlaqOut’s administrative and financial affairs, impact and engagement efforts, strategic plan implementation, initiative/program development, and community partnerships, ensuring the CEO can devote full attention to leading with excellence while maintaining a balanced personal life.
ESSENTIAL DUTIES
Administrative
- Provide support to the President and CEO that ensures outstanding internal and external communication and responsiveness.
- Provide stellar calendar management; prioritize inquiries and requests, triage/troubleshoot conflicts with little guidance, make judgments and recommendations to ensure smooth day-to-day engagements .
- Conduct research and analysis on issues of interest to the President and CEO
- Manage scheduling and travel logistics for the President and CEO or other staff asdirected.
- Prepare and edit correspondence, presentations, reports, and memos.
- Complete expense reports and manage correspondence with vendors, as necessary.
- Lead/support planning of various meetings and event logistics.
- Serve as a liaison to the Board of Directors and act as Assistant Secretary of the boardwith responsibility for compiling and disseminating meeting minutes.
- Maintain quality filing and communications systems including contact management,document management, and archiving.
- Assist the President and CEO with managing accounts payable and accounts receivable.
- Support the President and CEO with donor/funder relations and other administrative tasks and perform other duties as assigned.
Personal
- Manage personal commitments of the President and CEO including family engagements, health appointments, and home maintenance schedules, ensuring a well-balanced personal life that supports peak professional performance.
- Coordinate personal travel and leisure activities, meticulously planning to ensure restorative breaks that enhance focus and productivity at work.
- Handle personal financial management, including budgeting, payments, and investment oversight, to ensure financial stability that allows the President and CEO to give undivided attention to professional responsibilities.
- Oversee coordination of family events and social obligations for the President and CEO, ensuring smooth management of personal commitments, thereby reducing stress and enhancing overall well-being.
- Act as a liaison for personal projects and philanthropic activities, ensuring alignment with the President and CEO’s values and mission, thus enriching professional fulfillment and effectiveness.
- Effectively manage assigned personal affairs to maintain high performance and reduced stress, which directly impacts professional success of the President and CEO.
MINIMUM QUALIFICATIONS
Qualified candidates will possess one or more of the following:
- Bachelor’s degree with at least two (2) years of relevant work experience;
- Associate’s degree with at least three (3) years of relevant work experience;
- High school diploma/equivalent with at least five (5) years of relevant work experience; or,
- A combination of education and experience appropriate for the needs of this role.
