Summary:
We are looking for a dedicated, well-spoken Human Resources and onboarding specialist to join our HR department. The responsibilities of the onboarding specialist include educating new hires on company policies, reviewing job duties with new hires, scheduling start dates for new hires, and gathering all paperwork necessary for ensuring compliance in hiring. Possess a good working knowledge of labor legislation and experience with HR practices. Ultimately, we seek a great communicator with a flair for interacting with new people.
Onboarding Specialist Responsibilities:
- Create and update employee resources, such as employee handbooks
- Provide new hires with details about the Agency, including but not limited to parking information, work schedules, and dress codes.
- Introduce new hires to their team members.
- Assist with managing I-9 forms, benefits questions.
- Accountable for the Orientation process: badges, Fingerscan process.
- Provide new hires with manuals, guidelines, and passwords (in collaboration with IT), as needed.
- Detail all new hires' initial tasks and answering any queries.
- Ensure new hires have the necessary technical assistance to set up their hardware and software.
- Gather, process, and file all paperwork related to new hires, including but not limited to contracts, tax documents and nondisclosure agreements.
- Arrange product/company demos and presentations.
- Assist with scheduling interviews and phone screens.
- Assist with other recruitment duties as needed.
- Administer any necessary paperwork or materials for employees to begin their tasks.
- Answer new hire questions
- Deliver presentations or demonstrations for new hires.
- Organize the recruitment process for job fairs, both in and out of the Agency.
- File and maintain employment records for future references.
- Support the HR Director and Recruitment team as needed.
Qualifications
Onboarding Specialist Requirements:
- A bachelor’s or associate degree in human resources management or a related field.
- Experience as an onboarding specialist or in a similar HR role.
- Strong computer skills with standard software such as MS Office, with additional skill with HR software IRIS and Paycom
- Experience with ATS and resume databases.
- Good working knowledge of HR practices and labor legislation.
- The ability to work with sensitive and confidential information.
- Excellent verbal and written communication skills.
- Strong teamwork skills.
- Good organizational and time management skills.
- Ability to follow verbal and written instructions.
- Must be flexible about hours. Offsite travel is a requirement.

Physical Demands:
While performing the duties of this job, the employee is occasionally required to stand, sit, use hands to finger, handle or feel, talk and hear. Specific vision abilities include close vision, distance vision and ability to adjust focus. They may at times travel via public or private transportation to various locations and must be able to carry materials for distribution.
Work Environment:
Due to the nature of the position, must be willing and able to travel to different locations, by various means of public and private transportation, attend meetings, job fairs, visit colleges, offices, etc. where conditions are not easy to predict.
