What are the responsibilities and job description for the Front Office Coordinator position at Bloom Plastic Surgery?
The Front Office Coordinator takes a ‘hands-on’ approach to connect with patients and facilitate an exceptional experience. They will work to move patients through their visit at an efficient pace. The ideal candidate for this position is a polished individual who is comfortable in a fast-paced setting. They will have a friendly personality, be a team player, be intrinsically motivated, be solution-driven, be a consummate professional, possess excellent communication skills, and enjoy going above and beyond in all they do. Applicants must show integrity, professionalism, and empathy, and be able to display forward-thinking in the daily workflow. Superior in-person, phone, and email communication skills are a must. Applicants should be dependable and able to navigate situations in a timely and effective manner without sacrificing the quality of work. The ability to multitask and effective time management skills are essential. Previous experience in a fast-paced, customer-focused industry is preferred. Responsibilities include, but are not limited to, the following:
- Commitment to delivering a high level of customer service
- Efficiently scheduling appointments with great attention to detail
- Product sales, payment processing, check-in, and check-out procedures
- Prior authorization and benefits calls to Insurance
- Backup for taking photos of and rooming patients
- Work proficiently with technology and web-based systems, including our EMR, PMS, Weave, and Google Suite
- Recall and waitlist entry, and follow-up
- Become familiar with provider preferences, all services offered, and product lines carried while continuously staying educated as changes occur.
- Providing education and information to patients
- Ensure that all patient information is up-to-date
- Communicate patient clinical inquiries to medical assistants and/or providers promptly
- Ask patients about their experience, problem-solve when needed, and assist with reviews
- Schedule review to ensure appointments are scheduled appropriately, openings are filled, and deposits are collected
- Answering phones
- Ability to efficiently work independently and as part of the team
