Mission-driven, edtech startup transforming the learning experience in schools is looking for an Executive Assistant to support their CEO. With their Series A funding and getting ready to head into their next round of fundraising, they are growing quickly so it’s an exciting time to join! You will be responsible for providing day-to-day admin support to their CEO through heavy calendar & travel management, inbox management, and meeting prep & support. You will also coordinate quarterly board meetings, create presentations and other materials, and ad hoc project management tasks. Someone who has worked in a fast-paced startup and is a quick learner, resourceful, anticipates needs ahead of time, and is flexible and responsive after hours. This is a great opportunity to support a female solo Founder and get full insight into the workings of a high-growth startup while also having the opportunity to grow within the company! This is a hybrid role based in San Francisco with the flexibility to work from home a few days a week and some weeks every day depending on the needs. 130-145K DOE equity, benefits, and unlimited PTO!
Responsibilities:
- Manage the CEO's complex calendar, including scheduling meetings, coordinating travel arrangements, and ensuring optimal time management. CEO travels up to 6x per week so the ability to think strategically and problem-solve will be key.
- Manage the CEO’s inbox daily, prioritizing communications and drafting responses for her review and edit.
- Act as the primary point of contact between the CEO and internal/external stakeholders, including investors, partners, and team members.
- Prepare and edit correspondence, presentations, and documents for the CEO's review and signature.
- Coordinate and organize board meetings, executive team meetings, and other high-level gatherings, including agenda preparation and follow-up.
- Handle confidential and sensitive information with the highest level of discretion.
- Support strategic initiatives by managing special projects, conducting research, and preparing briefing materials.
- Maintain efficient administrative systems and develop new processes to support the CEO's office.
Requirements:
- 5 years of experience as an Executive Assistant to C-level executives, preferably in a high-growth technology company or startup environment
- Exceptional organizational skills with strong attention to detail and ability to prioritize effectively
- Outstanding written and verbal communication skills, with the ability to interact professionally with all levels of management and external stakeholders
- Advanced proficiency in Google Workspace, Hubspot, Quickbooks and project management tools
- Bachelor's degree
- Experience with board management and investor relations a plus
- Ability to maintain strict confidentiality and exercise excellent judgment
- Strong problem-solving skills with the ability to work independently and take initiative
- Flexibility to occasionally work outside standard business hours and on weekends when needed
- Interest in education technology and STEM education transformation is a plus
