An exciting AI startup that recently secured over $20 million in Series A funding is seeking an Executive Assistant to support its CEO. This role involves managing a dynamic calendar and inbox, coordinating travel arrangements, planning internal events and leadership offsites, and assisting with onboarding. The ideal candidate is highly detail-oriented, process-driven, adaptable, and brings a positive, can-do attitude. This is a fantastic opportunity to work closely with an inspiring CEO and be part of a rapidly growing team. The position is hybrid, based in NYC, with in-office requirements three days per week. Compensation ranges from $120K-$140K DOE plus equity, comprehensive benefits and unlimited PTO.
Responsibilities:
- Manage a complex and frequently evolving CEO's schedule, ensuring seamless coordination of meetings and priorities.
- Proactively adjust calendar commitments to align with shifting business needs and strategic objectives.
- Prepare and brief the executive for key meetings, events, and engagements.
- Oversee and prioritize email correspondence with full delegate access, ensuring timely responses and follow-ups.
- Serve as a primary liaison between the executive and internal/external stakeholders to facilitate effective communication.
- Coordinate comprehensive travel arrangements for business engagements, investor meetings, and speaking events.
- Plan and execute company-wide retreats and leadership offsites, managing all logistical aspects.
- Organize high-level executive events, ensuring flawless execution and attention to detail.
- Provide limited office support to enhance efficiency and operational effectiveness.
- Assist with occasional personal tasks and ad-hoc projects as needed.
- Ensure the executive’s day-to-day needs, including scheduling, wellness, and logistical support, are proactively addressed.
- Proven experience in a high-growth startup environment, demonstrating a proactive and anticipatory approach to executive support.
- Ability to adapt seamlessly to shifting priorities and dynamic business needs.
- Strong organizational skills with a high degree of flexibility and comfort in fast-paced, ambiguous settings.
- Exceptional problem-solving capabilities, operating independently with sound judgment and quick decision-making.
- Excellent communication skills, effectively managing limited guidance while prioritizing critical tasks.
- Extensive experience overseeing executive calendars and inboxes with a high level of discretion.
- Meticulous attention to detail, ensuring seamless coordination of logistics, travel, and operational support.
- Demonstrated ability to collaborate with senior leadership, including the COO, Chief of Staff, and Head of People.
