Tech-driven financial services organization is looking for a Senior Executive Assistant to support their CEO. This is an exciting role to support an experienced Executive and be part of a fast-paced, collaborative team! You will act as a partner to the CEO, managing complex calendars and travel logistics, serving as a discerning gatekeeper to expertly field high-priority communications, providing comprehensive meeting support, and tracking key organizational initiatives. You will act as lead admin to a team of 4 others. A forward thinker who is comfortable handling strategic initiatives and hands-on support tasks, demonstrating professionalism and a willingness to go the extra mile to support the CEO holistically. Ideal candidates bring previous experience in banking or financial services with a customer-focused mindset who thrive in an environment where attention to detail and proactive problem-solving are paramount. Responsibilities:
- Provide high-level support to the CEO, managing the calendar and schedule to ensure focus on top priorities.
- Preparing the CEO for meetings, including reviewing the agenda to ensure clarity on the purpose and outcomes of the meeting, while also debriefing post-meetings to support follow-ups, action items, and alignment.
- Serve as a gatekeeper, effectively triaging calls and correspondence, prioritizing based on context and stakeholder to align with the CEO’s priorities.
- Act as the lead EA, coordinating and supporting a small team of administrative professionals.
- Provide hands-on and holistic support, demonstrating equal dedication and professionalism to both high-level and routine tasks.
- Oversee project tracking and performance monitoring across key business areas, including KPI management and capacity planning.
- Take ownership of special projects. For example, owning space planning and organizational initiatives.
- Ad hoc projects and tasks as they arise.
- Previous experience supporting senior executives, ideally in a financial service or banking environment,
- Exceptional ability to anticipate needs and proactively address them without hesitation or resistance to any type of task.
- Willingness to provide holistic support, including occasional personal assistance (e.g., lunch runs, tidying workspaces), with a positive and solutions-oriented attitude.
- Strong service orientation, professionalism, and discretion in handling confidential matters.
- Ability to balance strategic thinking with a hands-on approach to administrative tasks; understands that both are integral to the role.
