Job Description:
The Inventory Control Specialist is responsible for overseeing and managing the inventory of products, materials, and goods within an organization. This role ensures that stock levels are accurate, that inventory is properly organized, and that procedures are in place for efficient tracking, storing, and moving of goods. The Inventory Control Specialist plays a key role in maintaining inventory accuracy and improving supply chain efficiency, contributing to the organization's operational success.
Core Responsibilities:
1. Inventory Management:
- Monitor and maintain inventory levels to meet business requirements.
- Conduct regular stock counts and ensure inventory data is accurately recorded in the system.
- Organize and manage stock within the warehouse or storage areas to optimize space and prevent product loss.
- Work closely with purchasing, sales, and other departments to forecast and manage inventory needs.
2. Stock Replenishment:
- Analyze inventory data to determine replenishment requirements and initiate orders as needed.
- Track and update stock levels, ensuring critical items are never out of stock.
- Coordinate with vendors to ensure timely delivery of products.
3. Data Entry & Record Keeping:
- Input data accurately into inventory management systems.
- Maintain accurate records of stock movements, returns, adjustments, and any discrepancies.
- Prepare and submit reports on inventory levels, stock movements, and audit results.
4. Inventory Audits & Reconciliations:
- Perform periodic and cycle counts of inventory to ensure accuracy.
- Investigate discrepancies between physical stock counts and recorded inventory levels.
- Identify issues or trends related to inventory shrinkage, loss, or damage and take corrective actions.
5. Process Improvement:
- Identify and implement process improvements for inventory management and control procedures.
- Streamline the tracking system to enhance efficiency, accuracy, and reporting.
- Assist in the development of inventory policies and best practices to reduce errors and enhance stock control.
6. Collaboration & Communication:
- Work closely with various departments (e.g., purchasing, warehousing, and sales) to ensure proper flow of inventory and support operational needs.
- Communicate with suppliers and vendors regarding inventory requirements and issues.
- Train and support other staff in inventory processes and procedures.
7. Compliance & Safety:
- Ensure inventory practices comply with company policies and legal requirements.
- Maintain a clean, organized, and safe storage environment.
- Ensure compliance with safety guidelines and regulations to prevent accidents and injuries.
Qualifications
Education:
- High school diploma or equivalent (required).
- Associate or bachelor's degree in business, logistics, supply chain management, or related field (preferred).
Experience:
- Proven experience (2 years) in inventory control, warehouse management, or logistics (required).
- Familiarity with inventory management software and systems (e.g., SAP, Oracle, or other ERP systems).
- Experience in stock audits, stocktaking, or cycle counts.
Skills:
- Strong organizational and time management skills.
- Excellent attention to detail and accuracy in data entry and inventory tracking.
- Analytical skills to assess inventory data and identify trends.
- Strong communication skills for liaising with internal teams and external suppliers.
- Basic math and problem-solving skills to track and adjust inventory discrepancies.
Technical Skills:
- Proficiency in Microsoft Office Suite (Excel, Word, etc.) or similar office software.
- Experience with barcode scanners, RFID technology, or other tracking devices.
Certifications (preferred):
- Certification in Inventory Management (e.g., APICS or similar certification).
- Forklift certification (for roles requiring warehouse operations).
