What are the responsibilities and job description for the Office Manager/Bookkeeper position at Bloomingdale Chamber of Commerce IL?
Part-time position of 20-25 hours per week. Position is on-site in the office in Bloomingdale, IL.
POSITION FUNCTION: To assist the President/CEO in conducting the business of and pursuing the mission of the Bloomingdale Chamber of Commerce of supporting local businesses.
PRIMARY RESPONSIBILITIES
Member Relations (25%)
- Membership database management (ChamberMaster training provided)
- Processing applications and answering inquiries to address members’ needs
- Tracking member contact updates
- New member on-boarding
Bookkeeping (35%)
- Processing all AP/AR including dues investment and event invoicing, credit card processing, collections, and preparation of deposits
- Reconciling and regular reporting
- Invoicing membership
- Quick Books reconciliations and reporting
Event Coordination and Marketing (25%)
- Assist with details of events (i.e. locations, menus, programs, registration, etc.)
- Attend events as determined (early morning, evening opportunities may arise)
- Create and distribute Chamber event notices
- Track reservations and attendance
- Send Chamber and member e-blasts, committee notices, etc.
- Assist with development and distribution of Chamber news and social media promotions
Administrative Duties (15%)
- Greet visitors. Answer telephone inquiries and provide member referrals
- Coordinate general correspondence. Oversee incoming/outgoing mail
- Maintain Chamber office, committee, and event files
- Order supplies, office upkeep, copier maintenance
- Coordinate the New Resident Chamber bags
- Facebook Referrals
- Manage the Leads ONE group attendance and track leads
- Coordinate Scholarships
- Other duties as assigned
QUALIFICATIONS
- High school diploma required. College preferred.
- Minimum of 3-5 years of relevant administrative experience in a small, busy office.
- Positive attitude. Dependable. Works independently. Takes initiative. Professional.
- Strong interpersonal skills. Strong verbal and written communication skills.
- Solid attention to detail.
- Knowledge of Microsoft Office programs required. Knowledge of Publisher, ChamberMaster, Constant Contact, and social media outlets beneficial.
- Experience with Accounts Payable and Receivable required. Knowledge of and experience with Quickbooks preferred.
BENEFITS
· Compensation is $18 per an hour.
· Flexible work schedule of approximately 25 hours per week between Monday thru Friday, 9:00 am – 5:00 pm (negotiable); Occasional extended hours for events.
