Overview
Position Summary: The Scheduling Coordinator will ensuring seamless scheduling and coordination for both internal and external stakeholders. This role will assist the COO and other clinical staff to create comprehensive staff and client schedules in an interdisciplinary setting, ensuring appropriate resource allocation and shift coverage, and providing reporting to support HR and performance management processes. Shifts are M-F 6AM - 2PM or M-F 12PM - 8PM.
Responsibilities
- Maintain record keeping of staff and client availability
- Maintain reference resources used by scheduling (i.e. Care Team assignments)
- Document and track attendance and Time off requests
- Communicate with clients and staff to confirm appointments and provide necessary information
- Perform data entry tasks to update client information in our system
- Perform scheduling audits to ensure continuity of client schedules
- Provide exceptional customer support, addressing client and staff inquiries and concerns in a professional manner
- Maintain phone etiquette when answering calls and directing them to the appropriate staff member
- Collaborate with the clinical office team to ensure smooth workflow and efficient operations
SKILLS
- Experience in medical administrative support or a similar role is preferred.
- Proficiency in medical scheduling practices and familiarity with CentralReach is a plus.
- Strong customer service skills with the ability to handle inquiries professionally.
- Excellent clerical skills with attention to detail for accurate record keeping.
- Ability to work collaboratively within a team while managing individual responsibilities efficiently.
- Basic understanding of medical coding is an advantage but not required.
- High School Diploma or equivalent work experience.
- Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and experience with data entry, scheduling, and reporting tools.
- Proven ability to plan, prioritize, and coordinate multiple tasks to meet deadlines in a fast-paced environment.
- Strong written and verbal communication skills, including experience preparing professional business correspondence, meeting notes, agendas, and presentations.
