Blossoming Cherry Mental Health Counseling Services P.C. is a private mental health practice with a focus on providing quality mental health services in the community. We have an opportunity with potential for career growth for a competent, organized, and reliable Office Assistant to manage reception and scheduling for our established mental health counseling practice.
Our mission is to expand the availability of quality mental health services in our community, and towards this mission we accept a large number of health insurance plans. As a result, we need an Office Assistant who can ensure smooth operation of scheduling and intake processes. The duties of the Office Assistant will include answering phones, completing basic mental health screenings, managing multiple calendars, and responding to day-to-day client scheduling concerns.
The ideal candidate should have excellent communication and interpersonal skills and be able to organize their work using tools like G Suite and Microsoft Excel, as well as an integrated electronic medical record. The Office Assistant needs to be dependable and able to reliably ensure the efficient and smooth day-to-day operation of our office scheduling procedures.
Ultimately, a successful Office Assistant should be able to conceptualize the business environment while offering empathic support to clients needing assistance to access mental health services. A successful candidate in this role has the opportunity to grow with our practice as the need for skilled healthcare administrators in the mental health field continues to expand.

Responsibilities
- Answer and direct phone calls from current and prospective clients
- Complete basic mental health screenings to connect clients to appropriate clinician for care
- Schedule and actively maintain organization of appointments on multiple calendars
- Complete verification of prospective client insurance benefits and update insurance information as appropriate
- Write and distribute email, correspondence, memos, letters, faxes and forms
- Assist in the preparation of regularly scheduled reports
- Maintain filing systems and contact lists
- Provide general support to visitors
- Act as the point of contact for internal and external clients
Skills
- Knowledge of office management systems and procedures
- Proficient computer skills, including calendar management, administrative tasks, proofreading, typing, and familiarity with Google Suite and Microsoft Office
- Attention to detail, critical thinking, and problem-solving skills
- Strong organizational and time management skills with the ability to prioritize tasks
- Excellent communication and interpersonal skills for effective collaboration with patients, families, and healthcare professionals
- Ability to maintain confidentiality and adhere to ethical guidelines in handling sensitive information
- Demonstrated commitment to providing high-quality customer service in a healthcare setting
- High school diploma or Equivalent, required
- Associate degree in healthcare services, health information management, or a related field, preferred
